Job description

The Legislative Service department of the Corporate Services and Public Safety division has an opportunity for qualified individuals to apply for the position of Records Digitization Coordinator. Reporting to the Corporate Officer, this position offers 72 hours bi-weekly, starting as soon as possible. This supervisory role has two main responsibilities, digitization of paper-based records and SharePoint Online management.


The Records Digitization Coordinator’s role is to support the municipality’s initiative to improve its digital record keeping program and create a digital archive of the RMOW records. The successful candidate will develop a comprehensive plan to digitize paper records and supervise a team of digitization assistants to execute that plan. The Records Digitization Coordinator acts as a central role between records management, department stakeholders, digitization staff, and service providers in the transfer of records into and between digital information management systems. This role will provide support, guidance and collaboration to the digitization team, secure resources, analyze data, and ensure quality assurance with sound operating procedures, and tracking methods.


The Records Digitization Coordinator also supports the Records Management Coordinator with the transformation of the RMOW’s records management program. The organization is transitioning to SharePoint Online, and this role will support the data migration and develop the SharePoint Online sites for all departments. This requires extensive coordination between various departments within the RMOW and will involve significant training responsibilities.


Qualified candidates will possess a grade 12 diploma, and a post-secondary degree in a relevant field, with at least 3-5 years of work experience in an office environment, including data entry, business analysis and experience with information technology. Qualified candidates must demonstrate considerable knowledge of the practices, procedures and terminology used in records and information management, local government practices, record keeping, archival studies or document preservation and is proficient in windows-based programs. The candidate must have supervisory and teaching experience, preferably in a related field.


The successful candidate demonstrates excellent attention to detail for accuracy, time management, communication skills both written and verbal, with a professional demeanor. Additionally, they are organized and can effectively analyze and solve problems, work well under pressure, and maintain confidentiality. The successful candidate also demonstrates commitment to promoting a diverse and inclusive workplace and will create effective working relationships with others while contributing to a positive team environment.


As a requirement of the position, the successful applicant must provide a satisfactory Police Information Check prior to beginning employment. The starting wage for this position is $31.98 an hour.
