Genuwine Cellars is currently seeking an enthusiastic Administrative Assistant to join our team in Winnipeg, MB. This is a full-time position reporting directly to the General Manager.

The Administrative Assistant plays an important role in ensuring the company’s overall success by providing strong administrative support to all levels of staff and the CEO/Owner. The Administrative Assistant is also the first point of contact to all visitors and clients, so having a natural aptitude for client service is key. To be successful in this role, you will need to possess excellent interpersonal and time-management skills, a strong attention to detail, adaptability, and a positive work ethic.

PRIMARY JOB DUTIES AND RESPONSIBILITIES

Client Service Support and Administration:

  • Perform reception duties such as answering incoming calls/transferring to appropriate person, greeting clients, distributing mail, and ensuring a positive guest experience
  • Coordinate domestic and international travel including flight, accommodations, and car rentals for staff. Keep current with legislative requirements.
  • Prepare all paperwork required for the Install team to cross international borders
  • Help to create and implement office policies/ procedures and maintain office roster and phone directories; maintain an organized and up-to-date storage system of electronic and paper files
  • Assist HR in the onboarding process of new hires by coordinating account creation, systems and equipment set-up, and preparing the workspace with supplies
  • Coordinate with outside contractors for services such as IT services, janitorial, lawn maintenance, snow removal, septic tank disposal, etc.
  • Ensure a safe and secure working environment
  • Other administrative duties as required

Executive Support to CEO:

  • Manage the CEO/Owner’s calendar of appointments and advise of upcoming commitments and responsibilities
  • Create various types of correspondence on behalf of the CEO/Owner
  • Complete a variety of business and personal tasks for the CEO/Owner including completing expense reports, arranging travel plans, creating itineraries and agendas for meetings, and compiling travel documents
  • Coordinate EO Monthly Meetings

Event Planning:

  • Assist with execution of company events such as BBQs, Christmas party, and other special events throughout the year including tradeshows (i.e. booking the booth, booking flights and accommodations for staff attending the tradeshow, and more)

Office Maintenance:

  • Acts as the point person for general maintenance and ensures the general cleanliness of the front lobby, office washrooms, design loft, kitchen, and conference rooms

QUALIFICATIONS AND KEY COMPETENCIES

  • Minimum two years of administrative assistant/executive assistant experience is required
  • Successful completion of a recognized administration diploma or degree program is considered an asset
  • Very well organized and manages their own and others’ schedules with ease
  • Excellent client service and communication skills (both written and verbal)
  • Sound decision-making and problem-solving skills
  • Comfortable with working independently but holds a strong team spirit
  • Adaptable to changing processes and competing deadlines
  • Intermediate to advanced computer skills in Microsoft Office (Excel, Word, Outlook, and PowerPoint) and web-based applications such as Asana
  • Experience with video-conferencing such as Zoom is an asset

WORKING CONDITIONS

  • Office setting and standard 40-hour work week (Hours of work are 8:00am to 4:30pm Monday – Friday)
  • Valid Driver’s license and clean driver’s abstract is required
  • Willing to work overtime if and when required
