Team Description:
People Operations strives to lead the people strategy for iQmetrix to create an exemplary and consistent employee experience. This team establishes and leads the strategic direction for the employee strategy of iQmetrix, working in conjunction with Team Leads, People Operation Support, the Senior Leadership Group (SLG).

Reports to: Chief Operating Officer (COO)
As the Administrative Assistant, you will be responsible for execution of administrative processes for iQmetrix, providing administrative support to the Senior Leadership Group, in day-to-day activities and complete tasks with a high degree of confidentiality.
To be successful in this role, you will have a strong attention to detail, understanding of priorities, meeting deadlines and the ability to juggle multiple competing tasks. You provide exceptional strategic support and project assistance including scheduling and coordinating high-priority meetings, organizing workshops, running special events, and maintaining calendars, while exercising discretion in handling sensitive matters.
In this role, keeping the policies and principles of Chrysalis at the forefront to foster a consistency of culture between Chrysalis and iQmetrix.

Responsibilities:

  • Provide administrative support to the SLG made up of six executives
  • Deliver proactive calendar management including coordinating and scheduling travel, booking meetings, and work-related appointments
  • Assist in the preparation and submission of expense reports
  • Manage the tracking of tasks, deliverables, and the status of projects
  • Record and distribute minutes or other records for meetings
  • Respond and resolve administrative inquiries and questions
  • Collaborate across departments to help plan events and initiatives
  • Gather a general perspective of the industry as a whole: how it works and where the company fits in
  • Build a reputation as a hard worker, fast learner, and dedicated individual
  • Maintain list of key contacts
  • Take initiative to solve problems independently and creatively
  • Organize requests and key details that come from different mediums such as verbal, hand-written, email, or slack
  • Work Quickly, but accurately
  • Handle sensitive information in a confidential manner

Qualifications:

  • 3+ years' experience as an Administrative Assistant, or in a similar supporting role
  • Strong administrative Project Management skills
  • Excellent business acumen and ability to exercise initiative, tact, sound judgment and prioritization
  • Exceptionally strong and proactive in communication, organization, problem-solving and decision-making
  • Strong time management skills and ability to handle multiple priorities at one time
  • Proven ability to build relationships with innate interpersonal skills
