REQUIREMENTS:
1. Knowledge of Project protocols and procedures.
2. Excellent written and verbal communication skills.
3. Competency in Budget development, Accounting, Microsoft Office.
4. Proven work experience as a Project Manager or similar role
5. Experience in project management, from conception to delivery, including reporting and execution
6. An ability to prepare and interpret flowcharts, schedules and action plans.
7. Solid organizational skills, including multitasking and time-management.
8. Strong client-facing and teamwork skills
9. Familiarity with risk management and quality assurance measure in project management
10. Strong working knowledge of Microsoft Project and Microsoft Planner
11. Hands-on experience with project management tools (e.g. Basecamp or Trello)
12. PM certification is a plus.
13. Open to learning new skills to mitigate varied challenges that may arise due to emergency issues impacting community.
RESPONSIBILITIES:
1. Coordinate project management activities, resources, equipment and information
2. Break projects into actions and set timeframes.
3. Liaise with leadership, community stakeholders and government to identify and define requirements, scope and objectives.
4. Seek guidance and support for tasks to internal teams and assist with schedule management.
5. Ensure that community and project needs are met as the project evolves.
6. Help prepare and manage budgets
7. Analyze risks and opportunities, and provide direction when required
8. Oversee project procurement and contract management
9. Monitor project progress and manage any issues or concerns that arise
10. Act as the point of contact and communicate project status to all stakeholders
11. Work with the Project Manager to determine next steps or community engagement requirements
12. Use tools to monitor plans and expenditures
13. Develop, support and manage all appropriate legal paperwork with the legal team (e.g. contracts terms and conditions)
14. Create and maintain comprehensive project documentation, plans and reports
15. Ensure standards and requirements are met through conducting quality assurance tests
16. Perform other duties as appropriate.
STRUCTURE: Reports to the Project Manager
HOURS: Regular office hours are 8:30 – 4:30 with one-hour unpaid lunch. The Project Assistant may be required to work outside these hours including evenings and weekends. With prior approval, time worked in excess of regular hours may be banked and taken off at a later date.
COMPENSATION: Competitive hourly wage depending upon experience. Group benefits and company pension plan provided after completion of probation. Compensation is established as part of an annual performance review.
