Applications are invited for the position of Database Coordinator in the Development and Donor Stewardship Division, located at the Daniel J. Patterson Campus. The starting hourly rate is $32.42/hr (Pay Band G - $32.42/hr to $37.57/hr) for a 35 hour work week. Additional hours may be required as necessary. This is an Appendix D, temporary position as per Article 17.3.1 of the Support Staff Collective Agreement and is set to commence in February 2024. It may be subject to an extension by mutual agreement of the parties.


Reporting to the Senior Director, Development and Donor Stewardship, the successful candidate provides support to the Development and Donor Stewardship department by administering, managing, maintaining, and operating the department database system comprised of constituent records for donors, prospects, alumni, and other partners and stakeholders. The incumbent is the key contact for internal staff requests for information from the database, including reports, queries and statistical analysis to support fundraising, donor stewardship and alumni communications, strategic decision-making, and troubleshooting issues on behalf of the users.


Responsibilities include, but are not limited to:

  • Entering, updating, and maintaining donor, prospect and alumni constituent records in the database (Blackbaud’s Raiser’s Edge)
  • Maintaining integrity and proper use of database, control/code table maintenance including managing appeals, funds, campaigns and other system coding
  • Working with the Information Technology Services (ITS) department on the installation of database updates, ensuring regular and manual backups are successful; large imports, global changes or deletes, and disaster recovery aspects of the database
  • Adding and maintaining new and current constituent records to the database, analyzing and populating information, creating and linking donor record relationships
  • Performing regular gift entry and processing daily gift batches; generating thank you letters and charitable receipts
  • Supporting alumni engagement activities through ongoing updates, and regular data cleansing of 100,000+ alumni records in database

Qualifications:

  • Minimum two (2) year diploma in business, or similar field of study
  • Minimum three (3) years experience and high level of proficiency with the Raiser’s Edge fundraising software
  • Previous experience in development/advancement or related field managing a Constituent Relationship Management (CRM) database for philanthropy and fundraising events
  • Excellent attention to detail, accuracy of work with strong problem solving and analytical skills
  • Solid understanding of Canada Revenue Agency guidelines relating to philanthropy, sponsorship and fundraising activities
