Daily Tasks:
- Provide receptionist, administrative, payroll and dispatching support to the Primary Dispatcher/Owner.

- To ensure accurate, effective imputing of data entry, dispatching, and planning
- Effective and professional communication with drivers, customers and insurance companies.
- Plan and assign drivers as calls come in by telephone or portal.
- Overall knowledge of North American geography with Excellent knowledge of Southern Ontario within Wellington County.
- Capacity to work in a team environment in high pressure situations
Accounts Payable (A/P) & Payroll
- Prepare and update employee personnel files
- Prepares employment contracts, employment letters, and salary/ bonus letters inclusing submitting monthly payroll
- Responsible for administration of the employee termination process and submitting ROEs
- Monitor timekeeping systems and follow up on exceptions and discrepancies.
- Ensure tax reporting and reconciliations are completed accurately and timely.
- Create reports for reconciliation, remittance and reporting federal and provincial tax.
- Ensure compliance with federal, provincial and local payroll, wage, and hour laws and best practices.
- You will be responsible for all government remittances including HST, Source and WSIB
- Recording all Fuel and Part purchases
Accounts Receivable (A/R):
- Maintaining current A/R accounts and resolving outstanding balances.
- Processing payments received.
- Handling customer invoicing for services.
Education:
- High School Diploma
- Post-secondary education (community college or university) in Business Administration, Human Resources (HR) and/or Certified Payroll Processional (CPP)
Ideal Candidate:
- 2+ yrs dispatching experience in the Trucking Industry.
- Ability to provide solutions to ever-changing scenarios. Must be a quick thinker including accurately and rapidly resolve service issues to help mitigate delays.
- Ability to prioritize tasks and differentiate the levels of urgency
- Excellent communication skills on phone and emails.
- Learn all aspects of the Primary Dispatcher role for emergency coverage with the support of operations after hours as required.
- Monitor yard operations and ensure sufficient driver resources are allocated to support customer including tracking Vehicles in and out of impound yards for Motor Vehicle Accidents, Impounds etc.
- Knowledgeable in current "Hours of Services" laws
- Understanding of Towing and Storage Safety and Enforcement Act.
- Strong skill set and proficient in Quickbooks a major asset.
- Strong computer skills specifically a high degree of proficiency in MS Outlook, MS Excel, and MS Word
