Job Summary
The Medical Undergraduate Degree Program (MDUP) within the University of British Columbia’s Faculty of Medicine is delivered in partnership with the University of British Columbia Vancouver and Okanagan campuses (UBCV and UBCO), the University of Northern British Columbia (UNBC) and the University of Victoria (UVic) and in close collaboration with the Health Authorities through the province.
This position will oversee the business processes and guidelines for Standardized Patient Training, as well as the high-level activities of Standardized Patients (SPs) within the MDUP program throughout the province. This position will work closely with standardized patient trainers, patient programs leaders and faculty at all MDUP sites, and represents their perspectives in decision making processes impacting curricular and OSCE (Objective Structured Clinical Examinations) activities province-wide.
The Provincial Standardized Patient Manager has a provincial scope, provides leadership to a distributed team and is the primary liaison between curricular leadership and the distributed site SP Trainer teams. The incumbent will promote systematic and clear communication for all provincial stakeholders. The incumbent is expected to engage and consult with the site SP trainer teams and leads in the development of SP training methodology and processes, and has the authority to determine and direct the processes of the SP program in consultation with administrative leadership at each of the sites. The incumbent will support effective communication and collaboration with provincial MDUP faculty as one point of contact related to case development; areas of concern such as SP safety, and or quality improvement for curricular activity and OSCEs (Year 1-4).
Organizational Status
Direct line management by the local Director Administration for HR matters; collective line management by the four Directors due to the provincial nature of the role, deliverable, quality improvements with regards to operations, teaming and outcomes.

Work Performed
  • Works collaboratively with site representatives to oversee SP training preparation of curricular sessions and OSCE delivery, and related processes, across all sites (NMP, SMP, VFMP, IMP).
  • Organizes meetings for the Provincial SP Trainer team to review and finalize key dates and project timelines.
  • Develops and documents systems and processes related to SP curricular and OSCE preparation, delivery and post-exam debriefing activities. Receives and acts on feedback and recommendations to accommodate provincial curriculum and assessment needs; and to support standardization across all academic sites.
  • Acts as liaison to the Provincial Learner Assessment Team (PLAT) on all matters related to SP training.
  • Researches best practices in SP training methodology and develops and shares resources across the team.
  • Builds capacity of the SP Trainer team by providing opportunities to develop and contribute to the creation of new cases, using a trauma-informed and equity, diversity and inclusion-based approach.
  • Identify opportunities and foster engagement with community organizations and local Indigenous communities to ensure decolonization and Truth and Reconciliation principles are embedded in standardized patient training activities.
  • Participates in national meetings and shares best practices with the MDUP provincial team.
  • Facilitates regular meetings with the Patient Program leads and provincial SP Trainers, providing a forum for communication, program development, regular updates, and collaboration.
  • Develops and delivers seminars, tutorials and workshops for the provincial SP trainer team; researches and consults with peer institutions and Faculty around best practices in methodology, and implements and updates training, based on need and subject to approval.
  • All responsibilities should be completed from a provincial perspective, considering the unique needs of each site based on frequent communication and regular meetings.
  • Provides reports, statistics and procedural guidelines on an annual and ad hoc basis that support accreditation, strategic initiatives, program progression and SP program efficacy across all sites.
  • Provides program support to colleagues during absences.
  • Performs other related duties as necessary in keeping with the qualifications and requirements of the job.

Consequence of Error/Judgment
The incumbent will have access to highly confidential material, the incumbent must be able to maintain confidentiality appropriately. Many of the projects undertaken by the position are high-stakes examinations, requiring that good judgment be exercised in dealing with anxious individuals in a stressful setting. The position requires the ability to make decisions quickly and work well under stress. Inappropriate judgment in these situations can result in appeals by candidates or the invalidation of exam results. The incumbent provides oversight and direction to a province-wide group where providing opportunities for development, tact, diplomacy, and strong inter-personal skills are required to ensure a well-functioning, integrated and motivated provincial team.

Supervision Given
The role is responsible for the oversight and coordination of MDUP SP delivery province-wide and expected to manage related processes and give direction to the Provincial SP team members. Provides input to site line managers conducting performance reviews of SP trainers.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of four years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
  • A background in health care, standardized patient work or previous experience with acting or directing is desirable.
  • Proven ability to interact positively with faculty, staff, students and members of the public.
  • Demonstrated skills in public relations and public speaking, providing training and presenting workshops preferred.
  • Experience fostering a team culture that supports integration and collaboration.
  • Experience nurturing an environment that celebrates diversity, builds on strengths found in differences and seeks to encourage growth in all members of the team.
  • Excellent interpersonal and diplomacy skills, as well as demonstrated ability to develop effective working relationships with students, faculty, staff and community members.
  • Experience with promoting healthy, gender inclusive education, training and support for staff and standardized patients;
  • Experience working with a trauma-informed and equity, diversity and inclusion-based approaches to advance decolonization and Truth and Reconciliation initiatives;
  • Experience promoting these values among staff teams and student cohorts.
  • Superior skills in verbal written communication, especially in facilitating and/or leading group processes.
  • Demonstrated strong independent problem-solving organizational skills, especially in the delivery of examinations, events and projects.
  • Demonstrated ability to work independently, relate to and work with people at all levels (including faculty); ability to function collegiality within a close team-working environment.
  • Intermediate to advanced user of MS Suite (Outlook, Word, Excel, PowerPoint, Access),SharePoint and web browsers.
  • Good understanding of University institutional initiatives, and administrative policies and procedures.
  • Superior knowledge of file and records management systems and processes.
  • Comfortable learning new technologies.
  • Ability to travel and use of personal vehicle as required.
  • Must be flexible with working hours and will be asked to work on evenings and weekends as required.
