About the role

This position will proactively manage all aspects of customer rebate reporting and contract compliance working directly with the Finance, Operations and Commercial teams. Accountability for managing terms, conditions, expiration dates and performance measures of customer Rebate/ Contract compliance to ensure goals are met for both the customer and BSC. Professional Rebate/ Contract compliance will improve control over BSC revenue management and help identify opportunities to raise BSC’s profile within senior hospital management by understanding the RFP/ Contract influencing factors.

 

Your responsibilities will include:

  • Calculating new rebate accrual rates and processing customer rebate settlements (including product technology credits) while maintaining professional documentation and filing practices.
  • Ensure rebates are accurately set-up by Contract Specialists by monitoring, maintaining and modifying rebate accrual rates based projected sales vs contractual rebate obligations.
  • Ensuring new hospital vendors are requested and properly setup for rebate payments.
  • Measure and update key customer rebate contract status on a monthly or quarterly basis depending on materially (all customer accounts must be analyzed and updated annually) to ensure BSL volume commitments are met and customer liabilities are satisfied in a timely manner.
  • Maintain rebate payment schedule and pro-active review of the payments due with the Sales Managers to ensure timely payment/ settlement of rebates.
  • Monthly Rebate tracking and reporting (summary of accrual vs obligation) by division with a summary by BSC Canada total. This detailed report provides management visibility and is maintained to ensure the accuracy and integrity of the Rebate G/L account reconciliation.
  • Organize internal business reviews with Commercial Teams to proactively manage customer rebate status and contract compliance (Regional Sales Directors/ RSDs and Territory Managers/ TM’s own the RFP/Contract process). Ensure any over accrued rebates related to contract non-compliance are returned to sales in a timely manner.
  • Monthly monitoring of expiring rebate accruals and following up with the RDS/Contract Team to confirm if the accruals should be extended (update and send out rebate expiry report).
  • Generate QBR Reports (Quarterly Business Reviews) to enable RSD’s to conduct professional commercial reviews by providing key contract metrics to ensure we “Delight our Customers” and deliver on BSC goals and objectives.
  • Establish working relationships with all Canadian Group Purchasing Organizations, including quarterly sales reporting to GPOs and participating hospitals (Medbuy, Healthpro, Plexxus, SSW, GACEQ, SIGMA SANTE, etc.).
  • Document rebate reporting/ contract compliance Standard Operating Procedures (SOP’s) and update on an annual basis with the objective to continuously improve business process.
  • Ensure compliance with BSC internal control policies (SOX requirements) as well as policies and procedures related to Contract SOP’s.
  • Internal data management and Rebate and Contract compliance reporting:
  • Build data and assist with all Rebate and Contract compliance reporting (monthly, quarterly and annual management and GPO reporting).
  • Sales and Rebate analysis, projections and alignment with customer contracts.
  • Development of process to improve BSC revenue management (utilizing Tableau).
  • Ad hoc rebate analysis/ reports as requested from the management team.
  • Other duties as required.
     

Required qualifications:

  • Bachelor’s Degree 
  • 2-5 years of relevant work experience
  • High level of proficiency in Microsoft Office (must possess excellent Excel and Tableau skills to create robust rebate tracking models, QBRs, etc.) 
  • Demonstrated ability to build and leverage strong internal and external relationships
     

Preferred qualifications:

  • Bilingual preferred (English and French)
  • Work experience in the pharmaceutical or medical device industry
  • Experience with Rebate applications such as SAP Condition Contracts or other Rebate Applications is an asset
  • General Accounting experience or understanding of basic Accounting principles
