Position: Virtual Meeting Moderator
Type: Part-time - Permanent
Salary: $22-$31 an Hour + Gas reimbursements for travel

CondoVoter is a rapidly growing organization providing Online Voting & Virtual Meeting Solutions for Condominium Corporations, Stratas, and Associations. We are currently hiring professionals with knowledge of Annual General Meetings for Condo Boards and experience to join our team as Meeting Moderators.

The role:

This is an exciting opportunity if you have previous or current property management experience. You will be using your exceptional interpersonal skills and excellent verbal communications to deliver high-end Virtual and hybrid meetings to our clients. You will be reporting to our Meeting Manager and you will host virtual meetings for our clients, and attend in-person on an as-needed basis. You will begin the virtual or hybrid meeting using Zoom, conduct a practice session/rehearsal with panelists, and be of assistance throughout the meeting, including but not limited to echoing the Chairperson, facilitating attendee questions, answering panelist questions, screen sharing, and resolving technical issues in a discreet and seamless manner.

What you will be doing:

  • Conduct “practice sessions” (meeting rehearsals) for our virtual meeting clients. This includes, but not limited to, going over house-keeping items, confirming panelist names and titles, checking panelists audio and visual and resolving issues, and answering panelists' questions regarding the virtual meeting.
  • Attending meetings in-person to be the technical host. Resolve any technical issues that arise within the practice session, so the meeting can proceed smoothly at the meeting start time.
  • Opening up the meeting at the start time to allow participants to join the meeting.
  • Display the meeting agenda, financials, president’s report and other required meeting documents by sharing the moderator’s (your) zoom screen with the meeting participants.
  • Assist the meeting Chair and other panelists throughout the meeting to conduct the meeting. This includes, but is not limited to, answering questions about CondoVoter services, resolving/answering issues and concerns that arise from the participants, timekeeping of the meeting, assisting participants with online voting, providing voting results to the chair, closing of meeting ballots, facilitate question and answer period between attendees and panelists/chairperson, assist in owner registration where/if needed, and more.
  • Provide a brief summary of the meeting and any out-of-the-ordinary issues that appear at the meeting to the meeting manager.
  • Ensure all panelists and attendees are able to enter the meeting and resolve any technical issues.

What you need to succeed in this role:

Skills and Experience

  • Previous experience as a property manager is an asset
  • Experience in AV is an asset
  • Exceptional verbal and written communication (bilingualism is an asset)
  • 3+ years of customer service experience
  • Ability to confidently speak in front of large groups of people
  • Familiarity with Zoom Virtual platform and extensive knowledge of its Zoom webinar functions
  • Quick problem-solving skills and the ability to “think on the spot” and provide successful solutions to clients
  • Ability to conduct yourself in a professional manner that is inviting and friendly
  • Ability to create a first-class Virtual and hybrid meeting experience for our clients by providing a memorable customer service experience
  • Excellent time management and organizational skills
  • Ability to grasp new concepts (tech) and information quickly and effectively
  • Ability to provide an engaging Virtual and hybrid meeting experience
  • Professional appearance and quiet area within your place of living, free of interruptions during your working hours
  • Flexibility to work various hours and adapt to the needs of the business

What you need to work in a virtual environment:

  • Laptop or desktop with camera and audio (a desktop setup is encouraged)
  • Ethernet connection, or reliable fast speed internet.
  • A good headset with a microphone
  • A professional and quiet area free from interruptions during the hours you are moderating for clients

Additional requirements for applicants:

  • Located near or in the GTA
  • Access to a vehicle and a full G license.

Work Hours

The majority of our virtual meetings are held Monday – Thursday between the hours of 5:00 PM – 10:00 PM. Shifts are typically 2-3 hours in length. Occasionally we will have morning and afternoon meetings. These can take place anytime between Monday – Sunday.

We require mandatory availability Monday – Thursday between the hours of 5:00 PM – 10:00 PM.

Salary: $25.00-$31.00 per hour

Experience:

  • Customer service: 3 years (preferred)
  • Zoom: 1 year (preferred)

Work in a Hybrid setting:

  • A mostly remote position with in-person attendance as needed.
