Job description

The Legislative Services department has an opportunity for qualified individuals to apply for the position of Records Digitization Assistant. Reporting to the Records and Information Management Coordinator, this position offers between 40 and up to 72 hours bi-weekly starting as soon as possible.


The Records Digitization Assistant will support the municipality’s initiative to create a digital archive of the organization’s records, preserving vital information and making it more accessible to the community. This role will assist the Records and Information Management (RIM) Coordinator in all phases of the process and will be responsible to ensure quality control and proper handling of materials using established procedures, methods, and RIM standards.


Qualified candidates have a grade 12 diploma and a minimum of 1 year of work experience in an office environment with responsibilities including data entry and physical handling of documents such as photocopying, scanning, and filing. Qualified candidates demonstrate knowledge of the practices, procedures and terminology used in records and information management; working knowledge of government, record keeping, archival studies, or document preservation/digitization; and proficiency with the Microsoft office suite, other windows-based programs, and the ability to learn new and changing technology. Proficiency with Adobe PDF and/or SharePoint is an asset. Candidates must be physically able to move boxes, records, and related materials.


The successful applicant is a great communicator with excellent attention to detail for accuracy and can manage competing demands and effectively prioritize workload and maintain confidentiality when dealing with confidential records and/or matters. The starting wage for this role is $27.57 an hour.


As a requirement of the position, the successful applicant must provide a satisfactory Police Information Check prior to beginning employment.
