Reports to: Production Manager
Job Summary:
The Truss Department Administrative Assistant (Production Scheduler) provides administrative support to the truss manufacturing department. This role involves various tasks to ensure the smooth functioning of departmental activities and effective communication with internal and external stakeholders.
Main Duties and Responsibilities:
New orders
- Review that all information is correct on the quote and release
- Make sure all releases and quotes are up to date
- Release all new jobs sent in by sales reps
- Work closely with the Design Department to ensure complete project specifications and no missing information
- All files in order in management for designers to pull from
Production
- Schedule production for the truss plant
- confirming and releasing orders to the floor for production
- Batching orders – putting similar trusses together so that at the end of production, similar trusses are stacked properly at the end of the line
- Laser setup – key information into software regarding each project
- Communicate with sales reps on what stage each site is at and what jobs to prioritize
- Keep in mind the production levels from the truss plant and schedule accordingly to set up for success
- Communicate with the order desk on jobs as well for more info
- Schedule with the designer scheduler for books
- Communicate with them regarding what books are needed according to my schedule and what you predict for further out
- Analyze and create metrics for the truss plant
- Create pivot tables to format charts and metrics for the truss plant to show production levels
- Send a weekly production report to Production Manager
- Show production levels and goals
- Dollars per week’s shipping
- Attendance numbers
- BF of all jobs released not built
- Calculate Lead Time for trusses
- Print tags for all jobs
- Pre-batching jobs
- Monitor, report and contain all non-conformances for the plant
- Invoicing for AR
- Help monitor the online Fastenal vending machine account
- Inputting lumber counts (when needed)
- Month-end plate and hanger counts
Administrative
- Receiving information and entering data into proper software etc.
- Assists with facilitating day-to-day business operations
- Carry out general administrative duties such as filing, scanning, copying, etc.
- Resolve administrative problems in the department
- Provide information by answering questions and requests
- Prepare and maintain departmental documents, reports, and records. This includes inventory records, production schedules, and project documentation
- Act as a point of contact between the department and other teams or external parties
- Respond to inquiries, emails, and phone calls, and relay messages to the appropriate individuals
