Overview:
We are looking for a contract employee to join our team. As an Administrative Officer, you will play a crucial role in ensuring the smooth operation of our business. You will be responsible for managing administrative tasks such as processing orders, oversee shipping logistics, answering phone calls, having product knowledge and relaying this knowledge to customers, great customer service skills, and providing support to our small team. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to work effectively in a remote environment. This role is for a contractor who will work Monday to Friday 8:00am - 3:30pm or 8:30am - 4:00pm with a half hour lunch.
Responsibilities:
- Process orders (enter orders in Sage accounting, email paperwork to the warehouse, take payment, send invoices and receipts, etc.)
- Manage the Order desk inbox and respond to emails.
- Answer phone calls
- Prepare sales reports
- Perform account reconciliation
- Reconcile inventory and prepare sales orders
- Organize and analyze shipping practices
- Assist with social media presence
- Assist with warranty claims and tracking of claims
- Provide general administrative support as needed to Directors
Most of the work can be done remotely from your home office.

Qualifications:
- Proven experience in an administrative role
- Strong customer service skills
- Knowledge of Sage Accounting is an asset
- Base comfort level with numbers such as setting margins, invoicing, cost, price, etc.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, OneDirve)
- Ability to problem solve and be solution oriented
- Excellent written and verbal communication skills
- Willingness to learn product knowledge and apply it to the role
