Harrison Pensa is hiring Administrative Support on a temporary (6 month) contract to join our Administration Team. This role will provide support for all administrative tasks and allow you to contribute to the overall efficiency of the Firm.
Key Responsibilities
- Opening, closing and covering reception two days per week (Thursday/Friday);
- Assisting with couriers and reception relief over breaks, busy periods, and as required;
- Assisting in day-to-day operations of the administration staff;
- Ensuring the office is stocked with necessary supplies in mailrooms and kitchenettes;
- General cleaning of spaces including kitchenettes, boardrooms, mailrooms and reception area;
- Assisting with coordinating internal and external meeting requirements, including arranging for catered lunches;
- Providing administrative assistance to all Partners, Lawyers and Staff;
- Assisting with workspace preparation relating to new hires;
- Supporting the Mailroom as backup and relief over busy periods;
- Other duties as required.
Qualifications
- 2+ years of experience in an administrative or receptionist role;
- Strong verbal and written communication skills;
- Attention to detail with strong administrative and organizational skills;
- Critical thinking and decision-making skills;
- Ability to work as a team player as well as independently;
- Regularly produces accurate, thorough, professional work;
- Ability to work in a manner that is compliant with confidentiality requirements;
- Being proactive and taking initiative in anticipation of next steps;
- Courteous, client-focused and professional attitude;
- Demonstrated ability to work in fast-paced environment with a strong work ethic;
- Proficient in Microsoft Office Suite.
