The Opportunity

The City of Grande Prairie is a dynamic and diverse municipality dedicated to serving our community with excellence. We strive to provide exceptional administrative support across the City of Grande Prairie's 32 departments. We are seeking skilled individuals to join our Administrative Talent Pool Program; by joining this Talent Pool, you will be considered for future short-term administrative assignments that align with your skills in customer service, financial expertise, and administrative capabilities with varying hours.

Successful candidates must be flexible in their availability and able to perform various administrative tasks. The Responsibilities

Customer Service & Program Support

  • Provide comprehensive administrative support to an assigned department.
  • Deliver outstanding program support and customer service by responding to inquiries, resolving issues, and explaining requirements, processes, and program benefits (programs may involve licenses, grants, events, training, and lessons) while maintaining a professional and friendly demeanour.
  • Assist with basic data entry, file organization, and information management.

Financial

  • Enter financial data into financial systems, input purchase orders, and basic financial reporting.
  • Assisting with accounts payable tasks, such as processing invoices, verifying payment details, and ensuring timely payments.
  • Reconciling purchase card expenses following proper coding and categorization.

Coordination & Communication

  • Coordinate meetings, appointments, and travel arrangements, ensuring efficient management of schedules.
  • Prepare professional correspondence, letters, briefing notes, and department memos.
  • Collaborate with colleagues to streamline administrative processes and improve efficiency


What You Bring

  • A minimum of 2 years of proven experience in administrative roles, demonstrating proficiency in customer service, program support, financial functions, and coordination & communications.
  • Demonstrate a commitment to upholding confidentiality and discretion when handling sensitive information.
  • Exceptional verbal and written communication skills, with the ability to engage professionally with individuals at all organizational levels.
  • Strong organizational and time management abilities, showcasing the capability to prioritize tasks effectively and efficiently.
  • Proficient in the use of Microsoft Office software and Oracle.
  • Possess a meticulous and detail-oriented mindset, ensuring accuracy in data entry and record-keeping processes.
  • Exhibit adaptability and the ability to thrive in a dynamic, fast-paced work environment with multiple competing priorities.
  • Maintain a high level of integrity, trustworthiness, and professionalism in all interactions and tasks.
  • Ability to handle confidential information with discretion, adhering to ethical standards.
  • Minimum educational requirement: High school diploma. Additional certifications or relevant credentials are considered an asset.

The Hours

These positions are casual and short-term assignments with no set schedule. Hours are not guaranteed.


The Compensation

The starting wage is $21.41 per hour.


The Selection Process

2. When assignments are identified, qualified candidates will be screened by the Administrative Talent Pool Program manager. A screening process will assess the candidate's resume, cover letter and employment type preferences and compare it to the assignment type and requirements. If you meet the criteria for a particular assignment, the Administrative Talent Pool Program manager will contact you for initial screening before arranging an interview with the hiring manager.


3. The hiring manager will contact you for an interview which will be an opportunity for you to ask questions to ensure the role is a good fit for you.

The entire process should be completed within one week, from the department's referral request to the appointment of a successful candidate.
