At Duncan Family Farms (DFF), we believe our primary responsibility is to produce clean, healthy, life-giving food. As a leading certified-organic grower, we harvest thousands of acres of produce that ship directly from our farms to processors in the United States, Canada, and the United Kingdom. Some of our products include Spinach, Spring Mix Lettuce, Kale, Arugula, and Culinary Herbs. Recent growth has enabled the expansion of our technological portfolio as well as our technical personnel. Duncan Family Farms is based in Goodyear, Arizona, and has farms across the United States.

GENERAL SUMMARY:

The Payroll Administrator is a key role in accelerating the long-term success of the business. This position supports the People department with various duties related to payroll for all farming locations. As part of a fast-paced and high growth environment, the Payroll Administrator will be responsible for the accurate, timely processing of payroll checks to all employees, including reviewing timecards, computing wages, calculating deductions, and calculating final payroll. The Payroll Administrator must maintain absolute confidentiality of all payroll information and must respect the personal nature of the payroll relationship between the employer and the employee. Familiarity with the following: State and Federal laws pertaining to labor and wages, garnishments and levies, changes in tax and deduction laws as they pertain to multiple states. Must also be able to process payroll for various types of employees that range from seasonal, full time, salaried, part time and H2A visa holders. Must be able to maintain a wide variety of payroll information (e.g. direct deposits, pre-notes, W-4s, leave balances, levies, garnishments, voluntary and involuntary contributions, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.

ESSENTIAL FUNCTIONS:

  • Able to understand, follow and complete payroll responsibilities in the payroll process.
  • Able to compile all payroll data accurately including hours worked, paid time off, withholding taxes, voluntary deductions, other miscellaneous earnings/deductions, and all other related payroll data.
  • Possess knowledge of ADP Workforce Now payroll functions and reporting.
  • Reconcile payroll and validate reports prior to submission.
  • Ability to maintain and enter additional earnings and deductions for employees.
  • Process manual and off-cycle paychecks.
  • Compile statistical and payroll reports to management and other personnel and to ensure compliance with established guidelines.
  • Resolve discrepancies with payroll, benefit information, and documentation to ensure the accuracy of records and employee payments.
  • Enter weekly vouchers for all payroll-related expenses.
  • Upload weekly payments of employee elected deductions: Health Savings Account, 529 Savings.
  • Maintain spreadsheets for payroll bank account and pay card account reconciliations.
  • Assist Staff Accountant with GL account and payroll bank account reconciliations.
  • Timely monthly payments of employer-paid benefits: Health Savings Account.
  • Assist with Month End Closing.
  • Assist with Workers’ Comp Audit.
  • Maintain payroll data for Total Rewards Statements.
  • Process and prepare accurate and timely year end reconciliations and reporting; W-2s, 1099s

QUALIFICATIONS:

EDUCATION/EXPERIENCE

  • High School Diploma and a minimum of 2 years of relevant, applied payroll experience.
  • Payroll system experience (ADP Workforce Now preferred)
  • Knowledge of applicable payroll regulation and compliance requirements strongly preferred.
  • Multi-state payroll processing and knowledge of applicable payroll regulation and compliance requirements preferred.
  • Bi-lingual (English and Spanish) preferred but not required.
  • Proficiency with computer systems and Microsoft Office products.
  • Must be detail-oriented with a high degree of accuracy.
  • Duties require professional verbal and written communication skills.
  • Must be respectful, honest and demonstrate sound work ethics.
  • Perform at a high level of diplomacy and confidentiality.
  • Excellent organizational and time management skills with an ability to multi-task.
  • Must have interpersonal, organization and planning skills sufficient to collaborate and communicate with other departments.

PHYSICAL ENVIRONMENT/WORK ENVIRONMENT

This job operates primarily in a professional office environment but requires collaboration with internal and external partners who may operate in diverse production conditions. This position is required to lift files, open cabinets and bend or stand on stool as necessary. The ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
