Dispatcher/Order Taker - Position Description

Position: Dispatcher Department: Central Dispatch

Overview:
The Lafarge Dispatcher is an important role in the day-to-day operations of service to the customer. The primary objective is to uphold Lafarge’s service missions of being Live with customer interactions, acting with Urgency, and being Honest about commitments. Responsibilities are to answer customer inquiries in a professional and friendly manner; to ask questions and clearly understand the customer’s needs; to record and enter order information accurately into SAP; to book trucks, plan and assign loads in order to successfully fulfill customer orders; to alert Sales, Operations, and Front-End staff of any service problems that may arise during a day’s operations.

Responsibilities:

Safety:

  • Ensures all aspects of the role are executed in a safe manner by adhering to all safety guidelines and policies.
  • Demonstrate a commitment to communicating, improving, and adhering to Lafarge Safety

Policies, Lafarge Safety Principles, and the Lafarge Safe Trucker Program with employees and truckers.

  • Engage in daily safety communication activities (ie: Huddles, Daily Safety Messages, etc…) with management, carriers, employees, and visitors.
  • Ensures that work areas are kept organized, presentable, functional and free of hazards.

Customer Service:

  • Engage customers in a professional and friendly manner via phone and/or in person.
  • Strives to understand the customer’s needs and works to resolve a customer’s requests by documenting the request, alerting and escalating the issues to the appropriate sales, operations, after sales and/or front-end personnel, and follows-up with the customer in order to confirm that their issues are being addressed.
  • Treats all customers, with the same level of attention and professionalism.
  • Offer up to customers compromises during short delivery capacity situations.
  • Provides honest and definitive delivery commitments in order to help the customer make optimal scheduling decisions about their construction projects.
  • Works with Sales, Carriers, and Operations to explore options in order to fulfill customer orders.

Dispatch:

  • Creates delivery plans for successful fulfillment of the customer’s order.
  • Maintain a good working relationship with carriers and truck drivers through professional interaction, proactive communication, and fair allocation of work to drive for profitable trucker earnings.
  • Follow the dispatch daily checklist to identify, record, and communicate changes to the delivery plan.
  • Books trucks for delivery and communicate orders to the shipping site Front-End staff.
  • Works with the Transportation Coordinator in tracking and reporting on Carrier Performance.
  • Maintains and uses the Dispatch Systems for measuring customer delivery performance.

Qualification Profile:

Education and Work Experience:

  • A minimum of Grade12 or with relevant work experience, or
  • A minimum of 2 years of experience in order taking/dispatching positions.
