Job description

Lorandus Meetings and Communications is an Ontario-based boutique, third party event management & incentive travel agency. We excel in supporting our clients with the execution of meaningful and creative meetings, as well as partnering with them to enhance their talent retention and employee recognition programs.


We are currently seeking a qualified individual to support our team in the logistical management and execution of meetings and travel incentive programs. In this role, you will be collaboratively engaged in the planning of domestic and international events while promoting and fostering professional relationships with our trusted vendors and valued clients. As an Associate Event Manager, strong time management and organization skills are required as you will be expected to work on multiple projects simultaneously. The Associate Project Manager plays a key role in the success of our events and therefore must demonstrate the ability to work effectively with team members and vendors by collaborating in a constructive and positive manner, meet all deadlines, problem solve where required, and keep the team informed of work progress, timelines, and issues.


Under the direction of the Senior Project Manager, Associate Project Manager duties include, but are not limited to, the following:


  • Collaborate with Lorandus project managers, planners, graphic designers and sales staff to create client presentations and program collateral including, budgets, agendas, function details, and client meeting materials.
  • Contribute to the preparation and organization of meetings & events while staying within the constraints of the budgets provided.
  • Communicate and manage event attendees and facilitate their specific requests and travel needs.
  • Meet with clients and Lorandus team members as required.
  • Adhere to assigned timelines and critical deadlines.
  • Create and manage registration forms and associated websites.
  • Communicate with participants in a courteous, friendly and professional manner while facilitating travel needs and individual requests.
  • Manage the sorting and filing of registration data for various aspects of the program.
  • Stay educated on airline rules, regulations, current affairs, and general travel advisories.
  • Advise participants about passports, foreign currency, travel insurance, etc.
  • Provide onsite support during the execution of assigned projects, if required.
  • Participate in operational site inspections, if required.
  • Participate in industry-specific trade shows when appropriate and meet with vendors when required.

Skills Required:

  • Understanding of event planning and operations, with the ability to manage multiple projects in a fast-paced environment
  • Exceptional customer service skills
  • Confident problem solver
  • Strong work ethic and a desire to work with a passionate team!
  • Excellent critical thinker with strong attention to detail. (If you’re reading this, please include the word travel in your cover letter.)
  • Flexibility and adaptability to meet unexpected requests
  • Proficient use of the Microsoft Office suite (with no training), specifically Word, Excel and Power Point, as well as Google Docs and Sheets
  • Knowledge of WordPress, SurveyMonkey and Formsite is an asset
  • Education and/or experience in the Travel and Tourism industry is an asset
  • Knowledge of the MICE industry is an asset
  • Ability to work outside business hours on occasion
  • Ability to travel – domestic and international travel may be required
  • TICO Certification is an asset
