Position purpose:
Reporting to the Manager, Finance, provides financial planning by carrying out analyses and making recommendations to support decision making. Monitors and controls the financial activities of suppliers under the incumbent's responsibility to ensure compliance with Canadian laws and University policies while also offering superior customer services. Provides guidance, training, and recommendations to management and other members of the faculty or service in relation to process improvements and collaboration.
In this role, your responsibilities will include:
  • Procedures and Process Improvements: Develops, documents, and implements new work processes, procedures, and methods, and modifies existing ones, for all members of the faculty or service to improve operational efficiency and ensure that financial operations comply with the policies, guidelines and laws governing the University.
  • Communication and Liaison: Develops, implements, and maintains effective communication channels with all members of the faculty or service when it comes to internal financial operations, procedures, and processes to ensure that financial transactions and financial reports are consistent and comprehensive. Serves on working groups to share useful information and help improve university policies, procedures, and financial processes.
  • Supervision: Assigns and supervises work performed by employees reporting to the incumbent to determine priorities and provide guidance in the attainment of individual objectives. Provides coaching and training to employees.
  • Financial Operations: Oversees financial operations related to the management of supplier accounts under the incumbent's responsibility and monitors adherence to strict deadlines. Approves financial transactions associated with these suppliers to ensure compliance with the financial policies, administrative procedures, and guidelines of the University. Also, acts as backup for employees as needed for absences, knowledge transfer, and peek periods.
  • Financial Reporting: Supervises and supports all supplier transactions and payments related to month-end and year-end activities ensuring costs are accounted for in the correct periods and calculates and records expense accruals. Provides information for audit requests to the Financial Reporting Manager and auditors and meets with them upon request.
What you will bring:
  • University degree in accounting, finance or business administration, or an equivalent combination of education and work experience
  • Minimum five years of demonstrated experience in a similar role
  • Professional accounting accreditation an asset
  • Knowledge of business administration processes and practices, including financial operations and Accounts Payable
  • Knowledge of financial operations principles, internal controls, policies, procedures and practices
  • Thorough knowledge of the administrative structure and governance of a large organization, preferably in a university setting
  • Supervisory experience
  • Process improvement experience and lean training is an asset
  • Autonomy and discretion
  • Critical and analytical thinking
  • Knowledge and experience using computer systems and software such as Windows, financial systems, spreadsheets, databases, the internet, and email
  • Bilingualism - English and French (spoken and written)
