The Position: We’re looking for a Billing Administrator to aid in JLM’s completing our operations around the province. The successful candidate will need to have a basic understanding of accounting, an intermediate level working knowledge with Excel, be able to possess effective communication both internally and externally and be able to maintain an excellent working relationship with all staff, contractors, and clients.

  • Billing Administrators are paid hourly, starting rates will be negotiable and can be increased based on the successful applicant’s effectiveness.
  • Job can be remote or out of the Olds Alberta Office.

Responsibilities:

  • Process incoming timesheets, invoices, and contractor tickets and Work with Project Managers to ensure accurate invoicing and reporting
  • Compile and manipulate data into Excel to conform with client specific guidelines.
  • Process client invoices through accounting software following all client contract guidelines.
  • Track status of all work in progress through to completion.
  • Handle high volumes of data entry.
  • Conduct payroll for all employees and contractors
  • Ensure data filing systems and records are maintained and up to date
  • Work on the implementation of a new ERP system to streamline data management within the company.

Skills and Qualifications:

  • Minimum 4 years of Administration experience; proven experience as an administrator, assistant, or general accounting.
  • Proficient in MS Office (especially Excel – Intermediate).
  • Working knowledge of relevant software (e.g., QuickBooks, Cortex (Enervus), and OpenInvoice) an asset.
  • Knowledge of Replicon and other time tracking software
  • Ability to work efficiently under pressure.
  • Excellent verbal and written communication skills and the ability to interact with the public and employees in a highly professional manner.
  • Good understanding of general accounting and financial reporting principles and practices.
  • Strong organizational and time-management skills.

Schedule

  • Full time; 8-hour shift
  • Day shift
  • Monday to Friday
  • Overtime
