BookKeeper/ Human Resources Assistant

Start Date: April 8th, 2024
Salary range : $30/hr
Reporting to: Camp Winston Foundation Camp Director

Work Hours: 3 day a week (22.5hrs)

Overview:

We are seeking a versatile and detail-oriented individual to join our team as a Human Resources Assistant & Bookkeeper. In this dual role, you will provide essential support to our HR department while also managing bookkeeping tasks. This position requires strong organizational skills, attention to detail, and the ability to handle multiple responsibilities efficiently.

Key Responsibilities
1. Administrative Support:

  • Assist with HR administrative tasks such as maintaining employee records, processing paperwork, and organizing files.
  • Manage HR databases and systems to ensure accurate and up-to-date information.
  • Coordinate meetings, interviews, and HR events.
  • Prepare bi-monthly payroll through Ceridian.
  • Control and manage staff contracts and documents.
  • Assist in various human resource functions such as recruiting and retention.
  • Process ROEs and T4s.

2. Onboarding and Offboarding:

  • Facilitate the onboarding process for new hires, including preparing paperwork and coordinating orientations.
  • Support offboarding procedures by processing termination paperwork and conducting exit interviews.3. Employee Relations:
  • Serve as a point of contact for employee inquiries and assist in resolving HR-related issues.
  • Maintain confidentiality and handle sensitive employee information with discretion.
  • Assist in organizing employee engagement activities.

4. Bookkeeping Responsibilities:

  • Manage accounts payable and accounts receivable processes.
  • Process invoices, expense reports, and reimbursements in a timely manner.
  • Reconcile bank statements and credit card transactions.
  • Prepare financial reports and assist in budgeting processes.
  • Ensure compliance with financial regulations and internal policies.

Responsible for keeping all the records and ledgers up to date using Quickbooks online.

  • Manage payments to vendors and track all expenses
  • Recognize various sources of revenues (grants, donations, camper fees)
  • Utilize various software tools to gather the financial data.
  • Work with the Executive Director to ensure budget is on track.
  • Help manage cash flows and prepare projections.

Qualifications:

  • Human Resources, Business Administration, Accounting, diploma or degree or related field experience.
  • Proven experience (3+ years) in HR administration and bookkeeping. - Strong organizational and time-management skills.

Not for profit/ charity organization experience . 3+ years experience. - Excellent communication and interpersonal abilities.

  • Proficiency in Gsuite and accounting software (e.g., QuickBooks- 3 yrs experience preferred). - Understanding of HR principles, practices, and regulations.

Knowledge of basic accounting principles.
