Work Hours: Must be available to work Mon-Friday 8:30am - 4:30pm

YMCA Child & Family Development has provided quality child care in the GTA for over 40 years, and is the largest not-for-profit provider of Licensed Child Care in Canada. With more than 290 locations, we offer a variety of programs for children 0-12 years of age: Early Learning and Care (Infant, Toddler, Preschool, and Nursery); Before and After School Care (Kindergarten and School Age); and Family Support programs.

The Administrative Agent plays a vital role in ensuring the efficient administration of communication and registration and provides clerical assistance as required. The primary function of the position is to complete data entry activities using our membership database and fundraising/volunteer data base and to provide efficient customer service.

In this role, you will:

  • Be responsible for registering child care clients into the ActiveNet system in an accurate, professional and efficient manner.
  • Manage amendments, withdrawals and emergency care for each client.
  • Work closely with Collections staff within the Administration team.
  • Manage the class lists for each program to ensure that the licensed capacities are not exceeded.
  • Manage telephone inquiries and ensures that relevant and quality service and information is provided.
  • Work closely with the YMCA District Managers, site staff, regional support staff (subsidy) and third party agencies and ensures that information is updated and correct.
  • Reviews all child care documents to ensure that the information is applicable before they are circulated each year.
  • Manage time lines and meet specific deadlines as they relate to the re-registration process.
  • Perform other duties as assigned.

You bring:

  • Completion of post secondary courses in a related field
  • Experience and/or knowledge of programs within the YMCA Child and Family Development
  • Experience in data entry
  • Proficient with Microsoft Word and Excel
  • Proficiency with ActiveNet an asset
  • Ability to communicate in a thorough, clear, and timely manner to support information sharing
  • Ability to work effectively with others in a team environment, including support to those who are not the incumbent's supervisor
  • Organizational skills; attention to detail
  • Motivated, positive individual who enjoys the challenge of a fast-paced environment
  • Well-developed interpersonal, and relationship building skills; ability to establish rapport and excellent communication with members, staff and volunteers
  • Excellent written communication skills
  • Commitment to diversity, equity, inclusion and building a sense of belonging
