Raymond James Trust (Canada) (RJTC) is currently seeking a Charitable Giving Program Coordinator to join our team working from our Vancouver BC or Toronto ON offices.

The Charitable Giving Program Coordinator is a unique role in the world of private foundations and corporate giving. The Coordinator reports to the Senior Advisor, Charitable Giving Program and is responsible for providing administrative support to our Charitable Giving Funds program as well as supporting other business initiatives involving operations, marketing and communications. This role works in collaboration with Senior Trust Advisors and the Executive Director of the RJCF to support the CGF administration and responds to both advisor and client inquiries. Due to the nature of the role, working in a collaborative environment across divisional platforms the successful candidate requires a high level of professionalism and discretion.

The position responsibilities include supporting sales and business development activities for the CGF program. Regular activities include donation and grants management; responding to client and Advisors inquiries; tax receipting to both internal and external clients. The ability to provide Excel based summaries of donation totals and ad hoc reports as requested; and assisting with general administration for RJTC may be necessary to be successful in this role.

Essential Duties and Responsibilities

Prepare and process account opening documentation for the Charitable Giving Fund program;
Prepare and process transfers documentation for CGF accounts;
Liaise with various departments including Account Profile, Transfers, Finance and RJCF to ensure successful and timely delivery of CGF related administration;
Assist advisors, assistants, and clients with forms and procedures;
Process, track, and reconcile charitable donations from both internal and external sources (securities in-kind, cheque, and credit card);
Process and track grant distributions from CGF accounts to registered charities including grant cheques and EFT distributions;
Proactively manage and resolve administrative issues arising from the management of Charitable Giving Funds;
Provide monthly and ad hoc reporting on account activity, updates and changes;
Maintain and update CGF program related documentation including forms, procedures documents, tracking sheets and digital file repository;
Maintain reporting database for new, testamentary and pipeline business for the Charitable Giving Fund program;
Assist with the development of presentation decks, marketing materials and advisor/client education initiatives;
Prepare and deliver internal communications for the Charitable Giving Fund program; and
Other duties and projects as assigned.

Qualifications

Knowledge, skills and Abilities

Knowledge of

Proficiency in MS Office particularly Word, Excel, PowerPoint and Outlook

Skill in

Organizing, multi-tasking, and prioritizing; and
Paying strong attention to detail.

Abilities to

Build strong relationship skills ;
Manage competing priorities ;
Work on simultaneous projects ; and
Communicate efficiently.

Educational/ Previous Experience Requirements

Post-secondary education;
A strong interest in philanthropy and strategic gift planning;
Experience in account administration in the financial sector, specifically for full-service brokerages and wealth managers;
Knowledge of the charitable sector and the benefits of charitable donations for Canadian donors specifically, the use and applicability of donor advised funds;
A commitment to excellent client service, and a friendly and professional manner;
Strong organizational, multi-tasking and prioritizing skills; exceptional attention to detail;
Ability to liaise and communicate effectively with all levels of staff and management;
Well-developed interpersonal skills; the ability to exercise tact and discretion;
The ability to work within deadlines in a high-volume and demanding environment while maintaining a high level of service and attention to detail is an imperative;
Excellent problem solving skills and the ability to work collaboratively and independently;
A background in Finance, Business Administration, Marketing, or Communications or completion of the CSC;
Knowledge of brokerage account documentation and processes;
Proficiency with Broadridge Applications such as Dataphile (including experience with reporting and OpenView Queries) is an asset;
Experience with CRM or other relationship management software an asset; and
Bilingual French/English is an asset.
