Job description

Position Summary

Under the direction of the Vice Principal of the College, the Registrar is responsible for the orderly registration, enrollment, reporting processes and daily administration of Seabird College and Adult education programs. The Registrar will work to assist with student registrations and records for Seabird College student intakes and their completion/certifications, all in accordance with the directives set forth by various funding and accreditation bodies, and the philosophies, policies and objectives established by Seabird Island Band Management.


This is a term position that ends March 31, 2028 with a possibility of extension.

What you’ll do

Registrar

  • Complete all registration paperwork with students for prospective programs, including and not limited to student learning/aptitude assessments, student learning plans, partner institution applications, sharing forms, criminal record check requests, transcript requests.
    Develop student learning plans, as per program/Dogwood/program pre-requisite needs, in conjunction with the Vocational Programs Manager.
  • Keep and maintain impeccable student files, as per regulations required by our funding / auditing bodies – Ministry of Education, Indigenous Services Canada, Employment and Social Development Canada, Private Training Institutions Branch.
  • Create lists for every classroom and program and maintain those lists in relevant records keeping systems.
  • Keep student grade results in their files and ensure that the goals outlined in the student learning plan are met.
  • Organize and administer the records, registration, and graduation functions, including transcripts.
  • Maintain student learning plans for the various funding / governing bodies.
  • Supervise the coordination, evaluation, and certification of all graduation applications.
  • Manage petty cash requests, approvals, and receipts.
  • Other duties or responsibilities as assigned by your Supervisor, Manager, Director, Executive Director, or Chief &
    Council.

Data Management

  • Provide back up and support for the data manager in a range of office software, including email, spreadsheets, and databases (Maplewood, Data Witness, TRAX, AMP Ed, ARMS), recording all relevant demographic and student data.
  • Submit student registration information to the Ministry of Education and Nominal Roll to secure student educational funding.
  • Responsible for ensuring the collecting, recording, maintaining, and reporting of student records within Canadian privacy legislation guidelines, e.g., grades, registration data, transcripts, report cards, and entering this data into various databases.
  • Interacting and providing reporting to government, regulatory and funding bodies such as Aboriginal Affairs and Northern Development Canada, the B.C. Ministry of Education, PCTIA and the Industry Training Authority.

What you bring

Education

  • High school diploma or GED is required.
  • Post-Secondary education/training in office administration, business administration, data management or similar field.

Skills/Experience

  • 3-5 years of continuous and related experience or comparable experience in an office setting with accountability for
    immaculate records and data management.
  • 3-5 years’ experience providing registration / customer service.
  • Excellent financial skills and knowledge of accounting protocols.
  • Ability to work independently and resolve problems.
  • Ability to draft funding proposals.
  • Ability to respond to students with diverse needs and educational backgrounds.
  • Excellent time management and organizational skills. Ability to multitask and prioritize workload.

  • High professional and ethical standards with a commitment to the principles and values of the First Nations communities.

Requirements

  • Proficient computer skills with the Microsoft Office 365 Suite (Outlook, Word, Excel, PowerPoint, Teams.)
  • Proficient interpersonal and communication (written and verbal) skills.
  • Ability to agree as well as adhere to Seabird Island Band Human Resources (HR), Finance, and Information Technology (IT) Policies and Procedures, etc.
  • Knowledge, respect and understanding of Stó: lō culture, traditions and language or willingness to learn.
  • Experience working with First Nations community is considered an asset.
  • Valid BC Driver’s License with a clean Driver’s Abstract within the last 5 years.
  • Satisfactory Criminal Record Check
