Overview

Cambridge Financial Services has been serving small businesses and individuals businesses in Atlantic Canada for more than 35 years. We provide Accounting and Tax Planning Services for a respected portfolio of Corporations, Individuals, Trusts, Charities, and Not-For-Profits. Cambridge is seeking a Services Administrator (Corporate Services) with 2-5 years experience in a professional setting, good working knowledge of tax compliance filing requirements (or similar experience with alternative government filings), and strong communication skills with an affinity for client service.

Responsibilities: Services Administration including Packaging Deliverables for Clients (Corporate, Personal, Trusts) and Government Filings (i.e. T1/T2/T3/T4/T5 Programs); Client Communications; Correspondence Proofreading, Formatting, and Finalization; and Financial Statement Quality Assurance and Formatting. You will be an integral member of the Cambridge Corporate Services Team.

As a Corporate Services Administrator at Cambridge, you will be working with a dedicated team of professionals with more than 35 years experience, devoted to a select portfolio of clients, providing expert information and advice on how to maximize their returns.

Your job is on the front line, working with our client teams and our clients, ensuring a high uniform standard on all communications with clients. You must be reliable, organized, and genuinely have the best interests of our clients at heart, and ensure confidentiality and privacy at all times.

Job Description

  • Tax Compliance Packages: Requires the preparation of final tax compliance packages, e-filing/filing with the Canada Revenue Agency, and communication and follow-up with clients to ensure all returns are filed by the filing deadline date. Packages include T4/T4A/T5 (Statement of Remuneration Paid, Statement of Pension, Retirement, Annuity and Other Income and Statement of Investment Income), T2 (Corporate Information Tax Return), T3 (Trust Information Tax Return and Slips) and T1 (Personal Income Tax Return). Apply best practices, procedures and policies to troubleshoot and resolve tax filing issues with Canada Revenue Agency. Apply in house processes and compliance procedures on all related files.
  • Correspondence and Financial Statements: Requires a strong attention to detail with the ability to proofread, correct, format and finalize all written correspondence and financial statements for delivery to clients and Canada Revenue Agency, as required.
  • Communication: Requires an ability to communicate with clients in a friendly, helpful, meaningful manner, to create a great experience that instills confidence as you help them through the process of filing their various tax filings, applying for grants, and other matters. An ability to understand basic questions from the clients and provide helpful insights to the clients about their income tax status, and properly refer any questions you may not be able to answer to an account manager.
  • Canada Revenue Agency: Requires access to CRA online and an ability to retrieve specific information as required.
  • File & Job Organization: Requires an ability to organize client information once received for accounting technicians and client managers, as required. Requires an ability to setup, monitor, track, and update Jobs in our iFirm Practice Manager.
  • Policies and Procedures: Requires adherence to office policies for finalizing, distributing, and storing all electronic/paper files.
  • Administrative Support: Requires periodic front desk (reception) coverage during lunch and breaks.
  • Time & Billing: Requires adherence to all time and billing protocols and assisting client managers with the billing reports and related functions.

  • Must be friendly, professional, and interact effectively with all clients and all team members.
  • Must maintain healthy standards for all office duties, engendering a collaborative, service-oriented, team atmosphere.
  • Must maintain healthy standards for handling client files, properly prepared and organized with no loss of information.
  • Must have strong attention to detail.

Experience Required

  • A professional track record of successfully serving others.
  • Previous experience in an administrative role working in a team environment.
  • Minimum 2 years experience working with a high volume of files.
  • A facility with Microsoft Outlook, Word, Excel, and Teams.
  • A facility with Cantax, or equivalent applications.
  • A facility with computers and technology.
  • Fluent in English.

Starting Salary: commensurate with experience.
