Donor and Database Coordinator

Status: Full Time Permanent

Salary: $43,800-$51,500

Please note this position is on-site (not remote) and located in Sudbury, ON

We are seeking a skilled and detail-oriented Donor and Database Coordinator to join our team. The ideal candidate will be responsible for the efficient management and maintenance of our donor database, ensuring accuracy, security, and optimal functionality. Reporting to the Director of Development, the Donor and Database Coordinator will play a crucial role in supporting fundraising efforts by overseeing donor information, generating reports, and collaborating with various teams to enhance donor relations.

Responsibilities:

  • Provide administrative support, including but not limited to, responding to inquiries, directing calls, and assisting donors.
  • Process and acknowledge gifts in a timely manner and in accordance with donor recognition standards.
  • Collaborate with the fundraising team to identify opportunities for donor engagement and stewardship.
  • Maintain and update donor database records with accuracy and attention to detail.
  • Implement data integrity protocols to ensure the reliability of donor information.
  • Regularly perform data hygiene tasks, including deduplication and error resolution.
  • Collaborate with IT and relevant stakeholders to optimize the functionality of the donor database.
  • Stay informed about the latest developments in donor management software and recommend upgrades as necessary.
  • Generate and analyze reports to provide insights into donor trends, contributions, and engagement.
  • Prepare regular reports for internal and external stakeholders, showcasing fundraising performance.
  • Work closely with finance personnel to reconcile donor contributions and maintain accurate financial records.
  • Implement and enforce data security measures to safeguard donor information.
  • Ensure compliance with relevant data protection regulations and organizational policies.

Education and Training:

  • Diploma in business administration, accounting, finance or related field of study, or an equivalent combination of education and experience.
  • Knowledge, Skills, and Abilities:
  • Proven experience in database administration, preferably in a nonprofit or fundraising environment.
  • Familiarity with donor management software and basic accounting principles.
  • Strong analytical and problem-solving skills.
  • Excellent communication skills, both written and verbal.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Understanding of data protection laws and regulations.
  • Strong organizational and multitasking abilities.
  • COVID Vaccination required to work in our facility (2 Doses)

128-bed long term care home) and St. Joseph’s Continuing Care Centre (a 64-
bed continuing care hospital) in Sudbury, and Villa St. Gabriel Villa (a 128-bed long
term care home) in Chelmsford. Our Administrative team supports all three
