Job Function:

Support the day-to-day operations of the Master Data team by handling administrative information and performing complex data processing services including inputting, updating, and maintaining various computer systems. Review and approves master data processes and transactions as needed. Support TAT & MDT Supervisor in distributing the work amongst Master Data Coordinators to ensure efficient resource allocation and provide support to staff in processing transactions, acting as a point of escalation. Escalate items to the Supervisor and/or Manager and additional parties (e.g. COEs, HRSC, external vendors) as required.

 

Job Description:

Processing Management: 

  • Support the TAT & MDT Supervisor to organize the day-to-day activities of the Master Data team by ensuring optimal resourcing and direction of work. Perform redistribution of work between team members based on instructions provided. 
  • Review, compare, and check information (completed by themselves, Master Data Coordinator and peers) to ensure completeness, accuracy and agreement with information recorded in various databases and that all required information, forms, supporting documentation and approvals are supplied. Ensure compliance with corporate and local policies.
  • Provide necessary support and work with internal (e.g. Master Data Coordinator, HRSC org) and external contacts (e.g. third-party vendors) to provide clarification, documents and information related to master data processes.
  • Retrieve and review reports related to Master Data in various systems and database.

 

System & Process Enhancements:

  • Contribute subject matter expertise to master data process and system enhancements related to processes under accountability of the MD team.
  • Perform testing activities related to master data process and/or system changes as they relate to the processes under accountability of the MD team.
  • Look for business process optimization opportunities & efficiencies, supporting the supervisor and manager on process improvements, training and new initiatives.

 

Administrative Support:

  • Ensure employees have the necessary training and tools to be successful in their role, escalating training needs to Supervisor.
  • Perform various clerical services including the preparation of word processing assignments and reports. Maintain records and files such as processes, training materials and others. File, retrieve and distribute above documents as necessary.
  • Make arrangements for meetings, conferences, face to face or virtual sessions, training sessions and interviews. Book onsite/offsite meeting/conference rooms, required accommodations and travel arrangements. Order coffee, lunch and confirm attendance of participants.
  • Perform other duties as required.

 

Service Delivery (Inquiry & Processing):

  • Liaise with HRSC & WFA on resolving complex inquiries for master data related topics.
  • Address escalations from the team and work with the customer for a timely resolution. Escalate appropriate items to the Supervisor and/or Manager and other parties as needed (e.g. COEs, HRSC, external vendor).
  • Provide support to the master Data Team during times of high demand, absence and on more complex transactions.

 

Selection Criteria:

Education:

  • Requires knowledge of data processing in order to input, manipulate and process data and proficiency in the use of word processing, spreadsheet, graphics and database application programs in order to establish and maintain a variety of data bases.
  • Requires a good knowledge of English to prepare presentations and to communicate effectively with others. This knowledge is considered to be normally acquired either through the successful completion of Grade XII in a Secondary, Commercial or Technical School or by having the equivalent level of education.

 

Experience:

  • Requires experience with business processes to understand the various collective agreements, organization, interrelationship of field department and hiring hall formation sources, to be able to thoroughly investigate information deficiencies.
  • Requires experience relevant to the function to be familiar with associated terminology, equipment and materials, to understand the nature of the work performed and contacts involved, to understand applicable policies, practices and procedures.
  • Requires experience in the use of computer hardware and software information systems to produce various reports.
  • Requires experience in a supervisory capacity.A period of up to six years is considered necessary to gain this experience.
