Position

This position exists to provide program-specific support to the Engineering Co-op Department. Under the direction of the Administrative Assistant, this position will handle the coordination of the daily activities of the front-line team. This position is the primary coordinator for the Co-op interview scheduling process. This individual will be the contact for activities within Alfresco and the training of individuals new to using this electronic filing system. The Program Specialist will be part of a team responsible for maintaining, enhancing, and developing the processes for the Engineering Co-op program within the campusBRIDGE platform. The Engineering Co-op Program specialist will be the contact for anything IT-related in the Student Services, Co-op, and Career Connections office.
This position requires a collaborative team-orientated diplomatic and proactive individual who will ensure the success of the daily activities within the Engineering-Co-op program.

Duties

  • Coordinates all activities related to interviews including screening, directing and processing GoogleCalendar scheduling, organizing interview rooms, video conferencing setups etc. and maintains subsequent records and student interview sign ups in campusBRIDGE.
  • Responds to specific inquiries about the Engineering Co-op program from students, faculty staff and employers interviewing our students.
  • Reviews and prioritizes daily incoming data and initiates or completes action depending on the complexity of the issue and assigns to Program Assistants as required.
  • Communicates to Employer Relationship Managers and Program Advisors by keeping them informed as to the progress of the Engineering Co-op Recruitment and manages correspondence within the co-op scheduling inbox.
  • Works extensively with campusBRIDGE program including: updating information and data within the system, proofreading, reformatting and configuration process documentation and provides back end technical support for the program.
  • Maintains records in and prepares training materials while assisting employees with the use of Alfresco (electronic filing system).
  • Checks daily program operations with the Program Assistants.
  • WKEXP courses are mandatory within the Engineering Co-op Bachelor of Science degree. This position supports the coordination of job postings, interview schedules and offer process resulting in work term placements for the WKEXP courses.
  • Provides administrative support pertaining to the evaluation process of work terms reports and sends the End of Term Evaluations to employers.

Minimum Qualifications

  • Minimum of a diploma in field related to Office Administration or Information Technology.
  • Minimum 3 years of administrative experience in a post-secondary environment.

Preferred Qualifications

  • Demonstrated technical ability using enterprise applications such as campusBRIDGE.
  • Advanced skills in Google Suite, Excel, and proficiency in other MS Office applications: strong keyboarding skills.
  • Demonstrated ability to work independently and collaboratively in a team environment while managing competing priorities.
  • Proven attention to detail essential with high levels of accuracy.
  • Excellent problem-solving abilities.
  • Strong interpersonal skills with both internal and external clients.
  • Knowledge of electronic filing systems (such as Alfresco).
  • Familiarity with University policies and procedures is an asset.
