Position Overview

We are seeking a proactive Executive Assistant Support to join the team! The ideal candidate will demonstrate the ability to excel in a fast-paced environment, where agility, adaptability, and quick decision-making are essential for success. The role of Executive Administrative Support is pivotal in ensuring the smooth operation of the office environment and providing high-level support to executives. This multifaceted position requires a blend of administrative prowess, organizational skills, and interpersonal finesse to handle a diverse range of responsibilities effectively. From managing office logistics to facilitating executive communication, the Executive Assistant Support serves as the backbone of the organization, enabling productivity and efficiency across all levels. You will support creating a welcoming environment for all new employees and consultants and be a role model and champion for our company culture.

Administrative Support

  • Manage calendars, appointments, and travel arrangements for executives.
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Handle correspondence, emails, prioritizing and responding as necessary.
  • Assist all consultants and finance team with weekly Updates.
  • Produce reports, presentations, and briefs.
  • Marketing publication on social media, managing SharePoint, and update and tracking Active Campaign
  • Take dictation and minutes and accurately enter data.

Office Management

  • Oversee day-to-day office operations, including supply inventory, maintenance, and vendor relations.
  • Coordinate office events, such as meetings, conferences, and social gatherings, to foster team cohesion.
  • Check, scan, and store mail securely daily.

Executive Assistance

  • Schedule meetings for the CEO and other executives as requested.
  • Communicate with key stakeholders on behalf of the CEO.
  • Book meetings, hotel reservations, and restaurant reservations in both Canada and the USA when requested.

Confidentiality and Discretion

  • Handle sensitive information with utmost confidentiality and discretion.
  • Uphold ethical standards and maintain trust by safeguarding privileged data and conversations.
  • Exercise sound judgment in decision-making and problem-solving, considering the best interests of the organization.

Qualifications and Competencies

  • Bachelor's Degree or College Diploma would be considered an asset but not required.
  • Proficiency in office software, including Google Suite, Apple Products, Microsoft Office Suite, and calendar management tools.
  • Valid Driver License
  • Proactive mindset - anticipate and address potential issues before they become problems.
  • Strong problem-solving skills and ability to think critically.
  • Demonstrated ability to take initiative and work independently.
  • Exceptional organization abilities with a keen eye for detail and accuracy
  • Strong communication skills, both written and verbal, with a professional demeanor
  • Ability to multitask, prioritize tasks, and adapt to changing priorities.
  • Discretion and integrity in handling confidential information and sensitive matters
  • Resourcefulness and initiative to proactively address challenges and streamline processes.
