Cosmetic Physician Partners is in the process of building a network of physician-led medical aesthetic clinics across the United States. We are currently looking for a highly organized and detail-oriented Executive Assistant to join our team in Montréal, QC H3S 1Z4.
The primary responsibility of this role is to support the CPP CEO, Dan Schacter, in advancing company initiatives and goals. This role involves coordinating and managing executive scheduling, preparing, and organizing strategic materials, and various other administrative support tasks.
The ideal candidate for this role must possess exemplary time management skills and the ability to anticipate and fulfill needs. The position requires interacting with a wide range of individuals, including senior management team members, board of directors, and clinic leaders while maintaining a professional demeanor. The individual must maintain professionalism and discretion while handling sensitive and confidential financial, legal, personnel, and company information.
Responsibilities:
  • Schedule and coordinate appointments, meetings, and events for the executive
  • Manage and prioritize the executive's daily schedule
  • Screen and respond to emails, phone calls, and other forms of communication
  • Plan and organize travel logistics including; flights, accommodations, and transportation
  • Prepare agendas and itineraries for trips
  • Organize and maintain files, documents, and records
  • Retrieve information as needed and keep the executive informed
  • Act as a liaison between the executive and internal/external contacts
  • Build and maintain positive relationships with key stakeholders
  • Perform general administrative tasks such as filing, photocopying, and data entry
  • Order office supplies and manage equipment maintenance
  • Draft, edit, and format reports, presentations, and other documents
  • Track, reconcile, and report on expenses
  • Manage receipts and invoices
  • Assist in the planning and execution of special projects and initiatives
  • Anticipate potential issues and proactively address challenges
  • Provide solutions to problems and make decisions on behalf of the executive when necessary
  • Identify and implement process improvements to enhance efficiency
