About the Opportunity

Currently, we are seeking a full-time Executive Assistant to the Chief Administrative Officer to join our team in Squamish, BC.  

Under the general direction of the Chief Administrative Officer (CAO) or their delegate, you will provide confidential, executive-level, administrative, and project support to the CAO.

Key accountabilities include, but are not limited to:

  • Following the District’s Customer Service Guidelines to ensure the Delivery of Outstanding Service and serving as the primary point of contact on behalf of the CAO
  • Assisting the CAO and members of the Core Leadership Team and Council with confidential executive administrative tasks on request, prioritizing the work of the CAO unless otherwise indicated
  • Supporting corporate strategic initiatives, coordinating special projects, researching and analyzing policies and projects, and drafting documents related to special projects
  • Providing high-level document management (drafting, editing, formatting and proofreading of documents, document storage, and archiving)
  • Developing routine and complex correspondence and responding on behalf of the CAO
  • Organizing travel itineraries and managing the CAO's daily schedule and calendar 
  • Monitoring deadlines and schedules to predict and resolve scheduling and interdependency conflicts before they arise
  • Triaging and responding on behalf of the CAO to email correspondence and complaints and keeping track of information requests until they are completed 
  • Preparing meeting agenda items and materials in a proactive manner, attending staff and committee meetings on a day or evening basis and taking minutes as needed
  • Conducting file searches, maintaining electronic filing systems, and maintaining databases
  • Establishing and implementing new work methods, procedures, and solutions, and implementing changes according to instructions
  • Maintaining and controlling access to confidential, restricted, and protected records, documents, and files, while demonstrating discretion
  • Being able to handle inquiries and prioritize them with considerable judgment
About You

To qualify you will need at least 5 years of experience working in an office environment at the executive level with a preference for at least 2 years of experience working in local government as well as a Diploma in Business Administration, Public Administration, or a related field (an equivalent combination of education, training and experience will also be considered).

The following skills are essential to success in this role:

  • An Office Administration Certificate
  • Local Government/Public Administration courses or certificates (PADM)
  • A full understanding of political protocols
  • Knowledge of modern office procedures, practices, and operations with particular reference to filing and records management systems
  • Superior knowledge of business English, writing, spelling, punctuation, and arithmetic
  • Excellent interpersonal and communication skills and the ability to deal with people in a tactful, diplomatic, and professional manner
  • Advanced computer skills and thorough knowledge of Microsoft Office including MS Word, Excel, and Outlook
  • Ability to keep pace and anticipate the work-related needs of the CAO
  • Diligent, able to work within a variety of timeframes, with a good sense of service and professional accomplishment
  • Superior organization and time management skills with strong attention to detail
  • Ability to process instructions and successfully execute projects from start to finish while meeting critical deadlines
  • Demonstrated ability to maintain confidentiality and exercise discretion
  • Valid BC Class 5 Drivers Licence (asset)
