Our Executive Coordinator will play a valuable role acting as the primary point of contact for internal and external inquiries on all matters pertaining to the Principal and President. They will also be responsible for providing proactive administrative, coordination, and communications support to the Executive team. Some additional expectations of this role include:


  • Completing a broad variety of administrative tasks including: conducting research, drafting reports and presentations; composing and preparing correspondence that may be complex and/or confidential.
  • Managing Executive team meeting and travel calendars.
  • Planning and coordinating domestic and international travel arrangements and itineraries for the Executive team and ensure information and itineraries are available for travel, meetings and conferences.
  • Monitoring and arranging internal and external meetings including meetings logistics and preparation of support materials.
  • Independently responding to external inquiries in a timely manner, and escalating complex issues appropriately.
  • Planning for corporate events including staff holiday parties, summer picnics, and various other employee and client events.
  • Managing administrative processes and online recordkeeping.
  • Handling highly sensitive and confidential information with discretion and strictest confidence.

The demanding and ever-changing nature of our diverse operations adds complexity to this role and requires flexibility to adapt to changing situations and priorities. The successful candidate will be a resourceful, highly organized, self-motivated professional who is proactive and anticipates the needs of the Principal, President and Executive team members. They take ownership of their work to ensure details are accurate and deadlines met. Excellent time management and organizational skills will be required. They also bring with them a demonstrated ability to build productive relationships with internal and external stakeholders, as well as handle confidential information and situations with diplomacy, tact, and discretion.


A candidate with a minimum of 3+ years’ experience in a confidential administrative or coordination role along with post-secondary training in Administration, Business Management, or a related field would be preferred. Experience in a multi-province/multi-location business or supporting geographically dispersed senior organizational leaders would be considered an asset. Combinations of education and experience will be considered. Bilingualism (French/English, both written and spoken) would be preferred.
