Who we are

We invite you to join the Department of Tourism, Heritage and Culture! We are seeking an Executive Secretary to perform senior level clerical and administrative work for the Deputy Minister in Fredericton. Our dynamic Department provides provincial leadership and support to Tourism, Arts and Culture, Sport and Recreation and Heritage sectors, in addition to being responsible for New Brunswick's provincial parks and several heritage properties.

What you will do

Reporting to the Deputy Minister, you will be responsible for the management of the Deputy Minister's office. The work involves the performance of highly confidential and time-sensitive duties requiring considerable independent judgment, initiative, and discretion. We are looking for an individual who will find solutions and will work diligently to ensure the Deputy Minister is fully supported by being flexible, proactive and results focused. The successful candidate will be responsible for the following:

• Managing all correspondence for the Deputy Minister's approval or signature, including composing, editing, tracking, screening, prioritizing, assigning to the appropriate branch or section, and following-up on deadlines
• Liaising on a regular basis with the Minister's office and senior officials of the department to ensure the Deputy Minister has the information required for decisions and meetings
• Liaising at a senior level with other government offices to exchange information relating to the department/government business to ensure the department and Deputy Minister are informed and effectively supported
• Managing the Deputy Minister's calendar, communicating regularly and effectively with the Deputy Minister and those requesting meetings and scheduling, prioritizing and maintaining a schedule of appointments/meetings for the Deputy Minister with appropriate briefings
• Making travel arrangements and providing administrative support
• Initiating and conducting independent research and obtaining specialized information from a variety of sources to obtain information required by the Deputy Minister
• Organizing materials and highlighting the most important issues
• Maintaining frequent contact with public and private officials and independently receiving, screening, and responding to various inquiries
• Performing other related duties as required

Work Environment

• Office located in Marysville Place
• Hours of work are 8:15 to 4:30, Monday to Friday
• Work outside regular hours may be required

Need to have

• High school diploma supplemented by successful completion of one (1) year post-secondary program in office technology or secretarial field or other post-secondary education in a related field
• Minimum of three (3) years of progressively responsible related work experience
• Significant experience working with Microsoft Office Suite is required with advanced level proficiency
• An equivalent combination of education, training and experience may be considered
• Written and spoken competence in English and French is required

Nice to have

• Knowledge of the machinery of government

Wage

$1,749.00 to 2,442.00 bi-weekly (Pay Band 2)
