Description
Administration
Serves as a City representative by excelling at and delivering the highest levels of customer service
Serves as a general receptionist for City Hall by answering phones, receiving and directing customer inquiries
Accept and reciept; tax, utilitiy and other reveneue transactions
Safeguard revenues by attentively, accurately and timely receipting of City operations transcations, reconciling cash drawers and reconciling revenues received from other City Departments (ex. Leisure/Public Works)
Manage and directs correspondence information by retireving, sorting, opening, dating, processing and receipting mail and other documents.
Accept & process all new Business License applications
Process annual Business License renewals, including sending annual invoices, monitoring outstanding invoices, & issueing license once payment is received.
Complete work orders for UB & PT account updates and changes, including tenancy changes, eBill signups, and name changes. Ensure these changes are made within Vadim.
Assist other finance staff as needed
Establish payment agreements with Utility clients and follow up to ensure these arrangements have been met
Complete and send Tax Certificates for lawyers, banks, and realtors
Review Preauthorized Payment transactions for NSF payments
Download tax title changes
Assist in the preperation of the monthly water billing
Assist in the annual preperation of tax notices
Communicate with the public works department regarding work orders
Track, manage, and file final billed accounts
Office supply management and ordering
Correspond with other companies and deparments on monthly readings
Monitor finance, utility & tax email accounts and respond or forward accordingly
Other duties as assigned
EDUCATION
Completion of Grade 12 or AED equivalent
1-year post-secondary education in Business Administration/Accounting an asset
