Title:First Impressions Coordinator
Reporting to: Executive Director
Hours: Monday to Friday 12:30 pm to 4:00 pm

Summary of Duties and Responsibilities:

The Cowichan Independent Living Centre connects people with disability related information and resources, peer support, and self-advocacy skills development services.
The First Impressions Coordinator is the first point of contact for visitors to the Cowichan
Independent Living Centre. The primary duty of this job is to respond to requests for information, resources and supports, while assisting in the general administration of the reception area.

Tasks:

  • Welcome visitors and assist them with responding to their inquiries for information or requests for services.
  • Notify staff of visitor arrival if he/she has an appointment. Book appointments with staff as needed.
  • Provide information referral services in response to inquiries by phone, in-person and by email
  • Assist with the production of a newsletter.
  • Manage the Parking Permit sales, including issuing new permits, maintaining records of sales, mailing out renewal reminders and daily reporting on sales.
  • Maintain safety and security of the Centre by following policies and procedures and keeping records of those who visit the CIL. Monitor use of public computers and assist individuals using computers.
  • Work as part of a team, contributing to a cohesive work environment. Participate in and contribute to meetings as required
  • Keep a safe and clean reception area by complying with procedures, rules, and regulations.
  • Complete monthly reports on the activities of the Parking Permit and Information and

Referral programs.

  • Assist with the proper safety, sanitizing and storing of all equipment and maintain current inventory practice to insure proper documentation is followed under the direction of the Medical Loans Coordinator.
  • Assist with advertisement on website and in-house of sales in regards to consignments, including all documentation of sales under the direction of the Medical

Loans Coordinator

  • Assist with research, prepare and provide handouts and educational information on loan equipment, insuring safe and proper usage and cleaning is explained to any consumer loaning or purchasing our equipment. Assuring our consumers are informed or safety practices under the direction of the Medical Loans Coordinator

Qualifications and Skills:

  • Knowledgeable of the Independent Living philosophy and approach to providing disability related services
  • Exceptional interpersonal and customer relation skills
  • Strong organizational skills and familiar with how to manage various office records
  • Ability to problem solve and respond quickly in a busy environment
  • Skilled in conducting sales and maintaining records
  • Solid research and writing skills and ability to seek out information and resources
  • Familiar with MS Office applications and able to maintain database records in an established database
  • Prepared to work as part of a cohesive team
  • Committed to following established office policies and procedures

Education and Experience:

  • Experience in office administration
  • Experience working in a grassroots social service organization.
  • The Cowichan Independent Living Centre Society is dedicated to operating by and for persons with disabilities. The organization’s Bylaws stipulate that at least 51% of personnel must have personal experience with disability.

Compensation:

  • Rate of pay will be commensurate with the education, skills and experience of the employee

Job Types: Full-time, Part-time

Salary: $17.50 per hour

Expected hours: 19.5 – 32.5 per week

Education:

  • Secondary School (preferred)

Experience:

  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
