Front Desk Supervisor

Position Overview:

Riverview Animal Health Centre is a leading 24-hour emergency, referral, and general practice hospital committed to providing exceptional care to pets. We are seeking a dynamic and experienced individual to join our team as the Supervisor of the Front Desk. The successful candidate will play a crucial role in overseeing the efficient and smooth operation of the Front Desk, with a focus on cash management, maintaining a clean and organized workspace, ensuring a welcoming reception area, and possessing knowledge of nutrition options in our storefront. This position requires exceptional customer service skills, leadership qualities, and a dedication to upholding the highest standards of pet care.

Responsibilities:

- Lead and supervise the Front Desk team, providing guidance, training, and support to ensure a high level of performance.

- Effective scheduling and the capacity to reallocate team members for open shifts/call ins. Additionally, skilled in communication with the manager on call and fellow supervisors to ensure smooth coordination.

- Foster a positive and collaborative work environment, promoting teamwork and a customer-focused culture.

- Maintaining effective communication within the team and updating the direct manager regarding any crucial client situations, updates, or changes that may occur during shifts or rotations.

- Oversee and maintain a high standard of customer service for both pet owners and referring veterinarians.

- Handle escalated customer concerns or issues, ensuring prompt resolution and maintaining positive relationships.

- Coordinate and manage daily Front Desk operations, including check-in, check-out, appointment scheduling, and client communication.

- Implement and monitor cash management procedures, including handling payments, reconciling cash drawers, and ensuring accuracy in financial transactions.

- Supervise and train Front Desk staff in proper cash handling procedures.

- Ensure the Front Desk and surrounding workspaces are clean, organized, and conducive to a productive and professional atmosphere.

- Ensure the reception area is clean, tidy, and welcoming for both patients and clients.

- Implement visual merchandising standards in collaboration with the marketing and storefront teams to enhance the overall appearance of the reception area.

- Provide guidance and information to clients regarding pet nutrition, collaborating with the storefront team to enhance product knowledge.

- Collaborate with other departments to facilitate seamless communication and coordination of patient care.

- Oversee the maintenance of accurate and up-to-date client records and documentation.

Qualifications:

- Previous experience in a supervisory or leadership role, preferably in a veterinary or healthcare setting.

- Strong interpersonal and communication skills, with the ability to handle challenging situations with professionalism and empathy.

- Excellent organizational skills and attention to detail.

- Knowledge of veterinary terminology and procedures is an asset.

- Experience in cash management and financial transactions.

- Flexibility to work non-traditional hours, including evenings, weekends, and holidays.
