Job description

We are seeking a dynamic and organized Front Office Executive to join our team. The ideal candidate will be the first point of contact for our organization, responsible for managing the front desk, handling incoming calls, and providing administrative support to various departments. The Front Office Executive plays a crucial role in creating a positive and welcoming environment for clients, visitors, and employees.

Responsibilities:

  • Administrative Support:
  • Assist with general administrative tasks such as photocopying, faxing, and filing.
  • Coordinate and schedule appointments, meetings, and conference rooms.
  • Handle incoming and outgoing mail and packages.
  • Customer Service:
  • Provide excellent customer service to clients and visitors.
  • Address inquiries and provide accurate information about the company and its services.
  • Assist in resolving client issues or directing them to the appropriate department.
  • Communication:
  • Effectively communicate with internal teams and relay messages in a timely manner.
  • Maintain a log of visitors and ensure security procedures are followed.
  • Communicate with vendors and service providers as needed.
  • Office Coordination:
  • Collaborate with other departments to ensure seamless office operations.
  • Keep track of office supplies and place orders when necessary.
  • Support in coordinating office events and activities.

Qualifications:

  • Fluency in English
  • High school diploma or equivalent; additional qualification in Office Management or relevant field is a plus.
  • Proven experience as a Front Office Executive or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Ability to maintain a high level of professionalism and confidentiality.

Job Type: Full-time

Salary: $17.00-$30.00 per hour

Expected hours: No more than 45 per week
