Job Summary
In line with our client centred approach, the Receptionist provides general reception, cleaning and clerical support to the organization. Responsibilities include managing front desk operations, answering calls, and handling administrative tasks. This position supports the centre during open hours.
Job Specific Responsibilities
Your core responsibilities will include, but will not be limited to, the following:
  • Greets visitors, determines their needs and directs them accordingly.
  • Ensuring all visitors and employees entering the PQCHC follow proper precautionary measures and wear appropriate personal protective equipment when required.
  • Answers the telephone during defined hours, determines the callers’ needs, answers routine inquiries, takes messages and directs the calls when appropriate.
  • Closes the office and telephone lines as scheduled.
  • Sorts, distributes incoming mail; processes and sends outgoing mail.
  • Receives all incoming faxes and forwards to appropriate person in a timely manner; sends outgoing faxes as requested.
  • Notifies courier when pick-up is required; records items sent by courier.
  • Oversees maintenance of central office equipment as assigned.
  • Assists with data entry requirements of the organization for registration of clients and program users.
  • Maintains the reception area in a tidy and client-centred manner.
  • Provides client-related reception assistance as required.
  • Provides administrative support tasks to human resources, medical reception, corporate services or other programs (e.g. typing, filing, scanning, data entry, compiling information, etc.)
  • Supports centre cleaning and housekeeping at main site or offsite as required
  • Performs other related duties as requested.
Qualifications
  • Secondary school diploma and some training in office skills.
  • Two to five years’ reception experience, preferably in a health or social service organization considered an asset.
  • Proficiency with Office 365 essential; ability to use other software packages an asset.
  • Knowledge of health and social service resources in the community an asset.
  • Experience with multi-line telephone system an asset.
  • Fluency in English essential; other languages considered an asset.
