Are you a multitasking extraordinaire with a keen ability to support the business and financial objectives of a dynamic executive team? The Strategic Assistant at Perfect Surfaces serves as an extension of the executive team to others, including employees, customers, and vendors. The work is varied, and both strategic and administrative in nature. As such, the role requires a strong business acumen, resourcefulness, and superior organizational and communication skills.

What are the Job Functions of the Strategic Assistant?

Strategic:

  • Take on special and/or cross-functional projects, allowing the executive team to focus on broader organizational objectives.
  • Act as a sounding board for the executive team, discussing issues, ideas, and initiatives.
  • Create and edit presentations which may require market research and data gathering.
  • Prepare and/or edit emails, letters, proposals, and reports for the executive team.
  • Track, compile, and prepare financial data, reports, and presentations containing inputs from multiple parties.
  • Assess inquiries and concerns directed at the executive team, including those of a sensitive and confidential nature; determine proper course of action, including resolution, referral, and delegation.
  • Participate in regular leadership meetings.
  • Improve existing processes for maximum clarity, efficiency, and success.

Administrative:

  • Prepare agendas and arrangements for committee, board, and other meetings.
  • Arrange domestic and global travel for the executive team.
  • Facilitating communication between departments.
  • Perform Office Manager function, including organizing office operations and procedures, arranging company/team building events, and ordering supplies.

What We Are Looking For?

  • Strong ability to manage multiple projects across disciplines, prioritizing workload as new projects demand attention.
  • Possesses a flexible, positive attitude to satisfy the varied nature of the role.
  • Creative problem-solving and active listening skills to act as a sounding board to ideas or challenges of the executive team.
  • Detail-oriented and organized with strong literacy and numeracy skills to ensure consistency and accuracy in completed tasks.
  • Exceptional interpersonal and influencing skills to keep people and projects in various departments moving.
  • Minimum of one year experience in a similar role.
  • Proficient in Microsoft 365 and Google Workspace.
