Reporting to the Office & HR Manager, the HR/Admin assistant is responsible for helping with recruiting, hiring, and maintaining employee records, as well as assisting in the front office. The HR Assistant will also act in compliance with Provincial Community Care and Nursing Care Regulations.
Day to Day Duties & Responsibilities:
  • Welcome guests, residents, and staff by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintain office equipment and supplies.
  • Processing incoming mail and emails.
  • Providing clerical and administrative support.
  • Compiling and updating employee records (electronic and paper copies)
  • Maintain a documentation and filing system.
  • Maintain employee and resident confidence and protect operations by keeping information confidential.
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Other duties as required.
Recruitment and New Hire Duties:
  • Participate in recruitment efforts by identifying candidates, scheduling interviews, and assisting in the interview process.
  • Ensure criminal record checks with vulnerable sectors and reference checks are completed before employee start dates.
  • Posting job advertisements on various platforms as per organizational needs.
  • Preparing new employee files, which includes collecting all employment and tax information and keeping them up to date.
  • Orienting new employees to the organization which includes completing welcome package, tour of building and setting up designated log-ins.
  • Serving as contact person for all new employee related HR questions within the HR Assistant’s scope.
  • Oversee Immigration hiring.

Payroll/Scheduling Duties:
  • Ensuring vacation, sick and other requests are tracked and entered accordingly.
  • Answer any payroll questions that employees may have.
  • Adjusting employee punch times on payroll software.
  • Investigate and resolve any discrepancies in payroll.
  • Support supervisors with department scheduling needs.

Qualifications:
  • Diploma in Human Resources or considerable experience in HR role.
  • Must have excellent interpersonal skills, over the phone and in person.
  • Ability to work as a team member.
  • Works well under pressure and meets tights deadlines.
  • Organizational and time management skills.
  • Meticulous attention to detail
  • Ability to accurately follow instructions.

Working Environment
  • Days, evenings, every 2nd weekend and holidays required.
  • Frequent interaction with residents, family members, and the public.

Position Available: 100% Temp Human Resources/Administration Assistant
Wage Range: 18.30-21.00 (To be determined- Based on education and experience).
