Job description

Do you have exceptional organizational and interpersonal skills? If so, consider this unique opportunity to coordinate the scheduling of staff and freelance court interpreters for the Court of Appeal for Ontario (COA), Superior Court of Justice (SCJ) and the Ontario Court of Justice (OCJ) court locations within the Toronto Region.

What can I expect to do in this role?

You will:
• manage the court interpreter scheduling database for all court interpreter assignments for Toronto Region and the Court of Appeal for Ontario
• organize, maintain and control a filing system and prepare utilization reports on scheduling details and statistics for senior management
• book court interpreters in person and remotely, for all court locations within the Toronto Region and the Court of Appeal for Ontario
• utilize the ministry registry, ensuring the use of accredited court interpreters where possible, with attention to the most efficient and cost-effective options
• ensure that court interpreters scheduled are accredited according to the Ministry's court interpretation standards
• provide relevant information to court interpreters in accordance with ministry policies and procedures to assist interpreters in preparing for court
• liaise with and respond to general inquiries from justice participants (e.g. the judiciary, staff, legal profession, police and the public) in accordance with ministry policies and procedures to ensure the needs of the courts are met in a timely manner
• liaise with Interpreter Coordinators inside and outside Toronto Region to ensure maximum coverage and coordination to meet court requirements
• accept court interpreter invoices for services, verifying accuracy, processing and forwarding them for approval

How do I qualify?

Analytical, Organizational and Prioritization Skills:

You have:
• coordination and time management skills to manage frequent and last minute changes to multiple courtroom schedules
• attention to detail in order to review requests to ensure no duplication of assignments, plus accuracy and completeness of data and invoices
• judgement to efficiently and cost effectively schedule court interpreters for various court locations
• problem solving skills to assign, schedule and coordinate court interpreters in accordance with the Court Interpreter's Coordination Manual

Technical Knowledge:

You have:
• the ability to acquire and apply knowledge of the policies, procedures, practices, guidelines, regulations, statutes and rules related to court operations to liaise effectively with justice participants and carry out administrative and clerical functions
• the ability to acquire and apply knowledge of Court Interpreter's Coordinator's Manual to determine the appropriate scheduling of court interpreters to prevent delays in proceedings

Computer Skills:

You are:
• proficient with email, word processing, spreadsheet and data base software and systems (e.g. Microsoft Outlook, Word, Excel, Access, Court Interpreter Scheduling Tool, Integrated Court Offences Network (ICON), and FRANK) to enter data and prepare various documentation (e.g. correspondence, statistical reports)

Communication and Interpersonal Skills:

You can:
• work in a team environment to facilitate teamwork production and appropriate use of resources
• converse tactfully and diplomatically with a variety of internal and external stakeholders (e.g. the judiciary, staff, legal profession, police and the public)
• remain calm, courteous, efficient, professional and respectful when dealing with conflict
