JOB TITLE: INVOICING CLERK/CUSTOMER SERVICE REPRESENTATIVE

JOB SUMMARY

The Invoicing Clerk/Customer Service Representative holds a crucial responsibility in ensuring precise and prompt creation of company invoices. This role involves offering Customer Service by addressing all customer inquiries via phone or email. This position reports to the Invoicing Clerk/Customer Service Representatives Team Lead.

DUTIES & ESSENTIAL JOB FUNCTIONS

· Perform audit and release all invoices for LTL shipments.

· Scan essential billing documents for all invoices.

· File PODs (Proof of Delivery) and bills of lading accurately.

· Code and separate heavy haul bills of lading for payroll and billing purposes.

· Rate and email tickets for coding or approvals.

· Enter and release all invoices related to oilfield operations.

· Prepare bid analysis for rig moves.

· Handle Customer Service calls and emails, including shipment tracking, rating, proof of delivery requests, and addressing general inquiries.

· Follow up with customers regarding purchase orders, AFEs (Authorization for Expenditure), and cost codes.

· Provide backup support for managing emails from white glove service customers.

· Generate outbound probills when necessary.

· Manage invoice corrections, including credits and rebills.

· Ensure compliance with month-end accounting procedures to accurately capture revenue.

· Enter customer rates into the billing system accurately.

· Assist in fulfilling audit compliance requests.

· Perform other necessary administrative duties as required.

· Protects organization reputation by keeping items such as pricing, promotion, purchase order, and credit-limit information confidential. All information should be treated in a highly confidential manner.

· Ensure policies and procedures are followed.

· Ensure compliances to all federal and provincial laws.

· Comply with or exceed relevant HSE regulations, policies, and standards.

· Contribute to the planning process and actively participate in assisting the Company in achieving the stated goals and objectives for HSE.

· Actively participate in the reporting and subsequent investigation of all accidents, incidents, hazards and near misses that have the potential to impact our operations.

· • Accept responsibility for protecting themselves, co-workers, visitors, and members of the general public who may be affected by their activities.

· Conduct themselves in such a manner to ensure their actions have a minimum impact on the environment.

· Practice, encourage, and reinforce safe, healthy, and environmentally sound behavior.

· Work with all departments to promote all Health and Safety policies.

· Lead by example

· Any other tasks that are required by management.

QUALIFICATIONS

· Prior experience in Customer Service, demonstrating effective communication and problem-solving skills.

· Familiarity or previous experience within the trucking industry, considered advantageous for understanding industry-specific nuances.

· Strong interpersonal abilities and a customer-centric approach to handle inquiries and provide satisfactory resolutions.

· Adaptability to fast-paced environments and the ability to prioritize tasks efficiently.

· Proficiency in relevant software or tools utilized within the trucking or logistics sector.

REQUIRED LICENSES/CERTIFICATIONS

· Class 5 driver’s license

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

· Work is primarily sedentary in nature; no special demands are required.

· Work may require occasional weekends and/or evening work.

Job Type: Full-time

Salary: From $20.00 per hour

Expected hours: 40 per week
