Job description

Reporting directly to the Manager, Williams Lake Enrolment Services and Student Support, the Learning Commons and Student Support Coordinator supports various student populations and is responsible for the coordination and management of the Learning Commons, as well as student success and retention programming on the TRU Williams Lake campus. This position provides oversight of the programming, strategies, early alert referrals and technologies to support students’ development personally, socially, and intellectually. In addition to providing direct supervision and coordination of campus tutors, the Learning Commons and Student Support Coordinator will partner with appropriate professionals to provide proactive assistance to support student success, academic engagement and retention. The Coordinator will also work closely alongside the Coordinator, Indigenous Student Services to ensure all TRU Williams Lake students receive equitable support. Special project work to support student success and retention, as assigned by the Manager, Williams Lake Enrolment Services and Student Support, is an important part of the position. The Coordinator may also perform the duties of the campus tutors.

One year replacement required with the possibility the replacement need will be extended further.



MAJOR DUTIES & RESPONSIBILITIES

  • Provides leadership to plan, develop, evaluate, coordinate and implement proactive Learning Commons and Student Support services to ensure effective student development and retention
  • Directs the work of the TRU Williams Lake campus tutors including: planning, scheduling, assigning, organizing and checking of work, as well as coaching and providing feedback on staff performance
  • Researches, develops, and reviews Learning Commons and Student Support programming and opportunities to align with TRU’s Vision and Strategic Enrolment Management Plan
  • Manages and monitors a comprehensive database for early alert reporting of students of concern including collecting and reviewing information to coordinate and develop individual cases and referrals
  • Consults and debriefs with faculty, staff and administration, working closely with Enrolment and Student Services; communicates referrals and actions to provide support for students
  • Coaches, advises and supports students on appropriate study strategies and available resources and policies; connects with students via email, text, online and paper
  • Develops information and resources for a diverse student population
  • Recommends and collaborates to develop programs and processes with respect to student success and development
  • Coordinates, prepares and maintains documentation, records and reports including related budget and expense requirements
  • Coordinates, prepares and maintains confidential documentation, records and reports
  • Works with TRU academic supports (both at TRU Williams Lake and main campus) to build academic engagement activities and events that promote student learning and enhance student success
  • Coordinates programming and support efforts for special populations of students
  • Monitors and manages student cases in consultation with referral responder and Students; follows up on individual cases to ensure case completion
  • Develops and emphasizes community and university partnerships to engage with the Learning Commons
  • Facilitates and supports student access to TRU Open Learning and other distance-delivery course options, including the Prior Learning Assessment Recognition process
  • Invigilates computer-based and paper-based assessments and examinations, processing both internal and external testing activities
  • Processes and forwards assessment/tests results to appropriate personnel

QUALIFICATIONS

Education:

  • Bachelor’s degree in education or related field plus 2 years’ post-graduate studies leading to a certification/designation


Experience:

  • Three years of related experience in a post-secondary institution or related environment, including three years working in student services


SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Understanding of academic supports and enrolment services at TRU
  • Ability to establish priorities, organize, schedule and report out in a timely manner
  • Ability to collaborate, problem solve and develop relationships
  • Knowledge of TRU Open Learning programs and courses, as well as other distance-delivery options
  • Knowledge of the Prior Learning Assessment and Recognition process
  • Proven ability to manage and coordinate multiple tasks and tasks of others
  • Demonstrated ability to work with sensitive, confidential, personal information
  • Demonstrated ability to interpret and apply policies
  • Proven ability to use judgement and to assess and coach students effectively and discreetly
  • Ability to work within and assist others in navigating through complex systems
  • Excellent interpersonal and communication skills
  • Ability to plan, develop and execute events and various activities
  • Ability to review, evaluate and report on programming and activities
  • Proven ability to analyze and prepare budgets and report on financial activities
  • Demonstrated ability and commitment to serving diverse students
  • Knowledge of Secwepemc, Chilcotin and Carrier cultures


WORKING CONDITIONS

  • Regular contact with students with a variety of disabilities, including dealing with challenging or difficult personalities
  • Hours of work include evenings and early mornings, and some weekends in order to meet schedules of student population
  • Some off-campus travel may be required
  • General office conditions
  • Siting at a desk or computer for extended periods of time
  • Ability to lift weights up to 10 kg
