Job Summary
This position supports the delivery of campus-wide programs and services offered by the Learning Resources department, as part of the Student Learning Hub (SLH), within the AVP Students portfolio at UBC’s Okanagan campus. This position supports a wide range of individual and group learning experiences and works collaboratively with students, faculty, administrative units, and student service professionals to meet the needs of diverse learners.
This position oversees programs and services to enhance student learning, promote academic collaboration, and contribute to student mentorship and transformative learning inside and outside of the classroom. This position provides advice and direction to student staff and coaches student leaders in the design and delivery of peer programs and services. This position conducts research and analysis on the needs of students for services and programs, and coordinates needs for training, resources, and scheduling. This position oversees the administrative operations of the Learning Resource teams, will assist in the maintenance and development of collaborative networks with campus partners, and will work closely with Student Learning Hub coordinators to provide joint service support and/or backup relief as required.

Organizational Status
This position is a member of the Student Engagement & Learning and Student Learning Hub teams and reports to the Senior Manager, Learning Resources.
Work Performed Program Facilitation
  • Contributes to the development, coordination, implementation, and supervision of campus-wide Learning Services including Supplemental Learning (SL), Math and Science Tutoring, Peer Leader programming, Learning Strategist services, and other SLH services as required.
  • Contributes to the planning and execution of campus wide events including Create, Jumpstart, Back to Basics, Exam Jam, and other SLH sessions or events as required.
  • Develops and maintains collaborative relationships with faculty and staff partners to engage in joint planning and the alignment of learning outcomes to address the learning needs, academic performance, appropriate referral, and retention of students.
  • Participates in the selection of courses suitable for SL and Learning Resource services, as well as the review of existing courses and the discontinuation of programming where appropriate.
  • Liaises with the Learning Strategist, staff, and faculty partners to identify at-risk students and facilitate of high volumes of learning support outreach.
  • Works with the internal Communications team to develop and oversee maintenance and ongoing development of the SLH website, regularly evaluate the site to ensure it accurately reflects service objectives, schedules, and locations, as well as resource information for faculty, staff, and students.
  • Develops and maintains procedure manuals for Learning Resource programs, services, and activities (e.g.: training manuals, SL Leader Handbook, user resource documents, etc.)
  • Oversees and coordinates the testing and implementation of virtual platforms, systems, and services as necessary to ensure efficiency and effectiveness.
  • Manages service referrals and bookings, and uses considerable discretion to allocate students to peer versus professional supports.
  • Creates a positive and welcoming customer service environment for all Student Learning Hub users (physically or virtually)
Leadership
  • Participates in the recruitment, hiring, and training of approximately 50 student staff; assignment of staff work schedules and responsibilities; staff performance evaluations; and coordination of staff.
  • Coaches staff to attain goals and pursue excellence, and challenges team members to develop as leaders while serving as a role model and mentor.
  • Coordinates and delivers professional development opportunities for student staff.
  • Works closely with other AVP leaders in a cross functional capacity, either on a project team, as part of working groups, or on advisory committees.
  • Assists with the development of short and long range goals within the context of Learning Resource priorities and strategic plans.
  • Identifies changing circumstances that may require the review and revision of current Learning Resource and/or SLH practices.
Assessment, Evaluation & Improvement
  • Creates promotional and recruitment materials to enhance student engagement and increase usage of SL and other Learning Resource services.
  • Participates in the ongoing evaluation of Learning Resource programs, services and processes, including developing measures for evaluating service and program effectiveness.
  • Monitors SL Leader submission data and creates summary reports.
  • Participates in the creation and maintenance of written goals, objectives, and anticipated outcomes for programs and services.
  • Participates in the analysis, problem solving and decision making associated with Learning Resource programs and services.
  • Monitors user comments/questions received through the Student Learning Hub inbox, feedback surveys, etc. and responds appropriately.

Consequence of Error/Judgement
Errors in judgement may have negative consequences for the quality of learning at UBC. They may result in the inefficient use of resources, and/or poor relations among educational developers, staff, students, or individuals participating in learning support services and/or activities. They may also damage rates of student retention and decrease enrolment in courses. They may damage the reputation of the University, the AVP Students portfolio, and the Student Learning Hub.

Supervision Received
Works independently, under general direction from the Senior Manager. Work is reviewed based on achievement of specific goals and objectives.
Supervision Given
May supervise student staff and volunteers. Coaches and mentors team members.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience

  • Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion

Preferred Qualifications
  • Experience facilitating learning programs, services, projects and teams in a university setting.
  • Demonstrated knowledge of current learning theories and the ability to utilize theoretical approaches to improve academic success for students in transition and/or at risk.
  • Experience overseeing student staff and working in a higher education environment.
  • Ability to take initiative, work with limited direction, and balance competing priorities.
  • Well-developed organization skills and written and verbal communication skills are required.
  • Familiarity with educational technologies considered an asset.
