About us

SignMakers has been providing beautiful and effective signage solutions to the Long Term Care and Retirement industry for the past 25 years. We are a small but mighty team, working with customers Canada wide, and growing.

We are seeking an Office Administrator to join our team. The ideal candidate will have strong organizational skills and be comfortable using Microsoft Outlook, Excel and Quickbooks or equivalent accounting software. As an Office Administrator, you will be responsible for providing clerical support and ensuring the smooth operation of our office.

Responsibilities

- Responding to customer emails and calls, assisting with general enquiries and accepting incoming orders.

- Directing requests to the appropriate departments, as in production, design, shipping, accounts receivable, etc.

- Feed our CRM software (Insightly ): create and update opportunities, sales process, tasks

- Prepare standard quotes and invoices using Quickbooks software

- Update contacts on Quickbooks, Insightly and Campaigner

- Maintain and organize files, both physical and computerized, ensuring they are easily accessible

- Assist with bookkeeping tasks, including accounts payable/receivable

- Coordinate office supplies, ensuring inventory is stocked and ordering new supplies as needed

- Greet visitors and direct them to the appropriate person or department

- Handle incoming and outgoing mail and packages

- Provide support to other team members as needed

Skills

To be successful in this role, you should possess the following skills:

- Strong organizational skills with the ability to multitask and prioritize tasks effectively

- Be comfortable using Microsoft Outlook, Excel and Quickbooks or equivalent accounting software

- Excellent clerical skills, including data entry, filing, and record keeping

- Knowledge of phone systems and proper phone etiquette

- Strong attention to detail and accuracy in all tasks performed

- Excellent communication skills, both written and verbal
