Job Description
Our Office Administrator is responsible for effectively running our current administrative systems, recording entries into our databases, and the overall upkeep of our physical office space through procuring inventory and services. They accomplish these duties mostly autonomously and might need to liaise with department heads or staff members to complete their work from time to time.
Duties and Responsibilities
- Ensure our office's effective and efficient running by maintaining and updating filing, inventory, mailing, and database systems.
- Input, track and reconcile invoices using QuickBooks Online.
- Engage in basic bookkeeping activities, including inputting invoices from various vendors/suppliers, recording our credit card payments appropriately, and mailing receipts to our accountant for monthly reconciliation.
- Review office inventory regularly and place orders to ensure that the stock is replenished accurately and promptly. In addition, ensure that our kitchenette is well-stocked for the benefit of our hard-working shop and office staff.
- Coordinate with vendors to provide timely cleaning, repair/maintenance, and general upkeep to the office space.
- Liaise with the Human Resources Coordinator to onboard new staff members onto their computers, software, and standard websites they will be logging into.
- Add to and organize our master list of passwords and logins company-wide.
- Resolve and forward general inquiries to the appropriate staff using our phone system and generic email inbox.
- Help our staff troubleshoot common computer errors and functions.
- Routinely organize our company server and engage in record reconciliation regularly.
- Other duties as required.
Job Type: Full-time
Salary: $40,000.00-$50,000.00 per year
