Role: Office Assistant and HR Manager

What we look for in our Office Assistant and HR manger: This Flexible position is focused on providing support to other employees and coordinating business communications. They are well organized and enjoy the fast-paced environment and variety of tasks. They are diligent in keeping clear notes and can schedule themselves according to priorities of workflow and changing needs. They take on the role of HR manager and are focused on company culture and motivation thought the work season. They assist in recruiting, hiring, training, on boarding and promoting safe work practices and Company Health and Safety policies and procedures. Our assistant is driven to improve company culture and bring new ideas to the table. They lead in all correspondence with the team regarding operations, purchasing and scheduling. They love what they do and enjoy collaborating with others on the team. They are trustworthy, reliable, and willing to jump into any role when needed.

Reports to: General Manager

Works daily with: All office staff and other team members.

Necessary Skills and qualifications for this position

· Ability to multitask and be flexible.

· Excellent time management skills

· Keen Attention to detail and thoroughness.

· Problem solving, resourcefulness.

· Microsoft office experience – word, excel, PowerPoint

· Clear and organized communication skills (English)

· Use of Monday.com an asset, (training will be offered to motivated candidates)

Responsibilities of Our Office Assistant.

1. General assistance: Including task overflow, job package preparation, design surveys, scheduling, errand running, social media, new employee outfitting and office cleaning.

2. Operation assistance: Organization, and preparation. Work order generation and cross referencing to P.O.’s, Job purchase organization and documentation with budget and estimate awareness.

3. Assist with job and office schedules, updates and deadlines. Client liaison, and paperwork preparation.

4. Reliable and dependable showing up ready to take on every day and every task with the right attitude. Even occasionally joining a crew and helping out on site.

Responsibilities of our HR manager

1. Ensure all appropriate and needed information is displayed and accessible to all employees and that all sign offs regarding training are recorded and well organized.

2. Help create and improve H&S culture. Assist with Tailgate talks at staff meetings.

3. Plans and prepares for all company events, team meetings, and group training.

Results we expect from an Office Assistant:

1. Workflow is consistent and not being held up by a lack of resources (workforce), the office is fully stocked, brand image is represented without saying a word. Staff has back up when needed.

2. Job profitability is maximized via complete job packages with careful and diligent purchasing, vendor follow up and costing.

3. Surpassed client service expectations though consistent communication between departments allowing for better workflow and smooth accurate office procedures.

4. A happy and engaged team player eager to grow, learn and diversify their role within the company.

Results we expect from a HR manager.

1. All employees are up to date on necessary training and what is required of them. Staff can identify where to go to get the required health and safety information. The company is protected from negligence.

2. The staff’s best interests are being kept top of mind. We see all staff engaging in keeping themselves and each other safe, wearing appropriate PPE, identifying hazards, making the workplace safer and eliminating injuries and near misses.

3. Company culture is always improving though new idea generation and implementation. Employees feel important due to the effort and preparation put into staff events and consistent follow-up.
