ABOUT YOUR ROLE

Position Summary: As an Office Manager with HR responsibilities, your role is to oversee the smooth functioning of the office environment while also managing various human resources tasks. You will be responsible for ensuring that employees are aligned with their roles and assigned tasks, promoting productivity, and fostering a positive work culture.

Key Responsibilities:

This position reports directly to the CEO

1. Office Management:

  • Maintain a well-organized and efficient office environment.
  • Manage office supplies, equipment, and facilities.
  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Keeping business plans up to date
  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
  • Ensure compliance with company policies and procedures.

2. Human Resources:

  • Conduct one-on-one meetings with employees to understand their roles, responsibilities, and challenges.
  • Identify skill gaps and development needs within the departments.
  • Collaborate with department heads to align employee roles with organizational goals.
  • Ensure proper onboarding and orientation for new employees.
  • Support employee performance management processes, including goal setting, performance reviews, and career development.
  • Assist in implementing HR policies and procedures.
  • Address employee concerns, conflicts, and disciplinary issues in a fair and timely manner.

3. Task Management and Productivity:

  • Monitor employee workload and task allocation to ensure optimal productivity.
  • Identify opportunities to streamline processes and improve efficiency.
  • Develop and implement strategies to enhance team collaboration and communication.
  • Provide guidance and support to employees regarding task prioritization and time management.
  • Track and report key performance indicators and metrics related to office operations and employee productivity.

4. Employee Engagement and Well-being:

  • Foster a positive work environment and company culture.
  • Address employee concerns and promote employee satisfaction and engagement.
  • Support employee well-being initiatives and work-life balance

QUALIFICATIONS:

  • 3+ years of related experience in a fast-paced environment
  • Strong strategic planning, detail-oriented and resource allocation skills
  • Experience organizing, motivating, and directing a leadership team
  • Experienced in goal setting (defining and prioritizing specific, driving objectives)
  • Experienced in writing plans for government grants and loans would be a valuable asset.
  • Strong computer skills, and proficiency with MS Office including Excel, Word, PowerPoint, Outlook
  • Independence, initiative, and drive to lead projects and move them forward.
  • Able to work under pressure with time constraints and multiple projects at once
  • Excellent communication, interpersonal, problem solving, and decision-making skills

SALARY: $65 000/ year and negotiable depending on qualifications and experiences
