OFFICE & LEASING COORDINATOR

Forster Harvard Development Corp. requires an Office & Leasing Coordinator to join its head office team in Regina, Saskatchewan. Reporting to the President and Vice President, Retail Leasing respectively, this position will provide exceptional service to stakeholders, clients, and customers for multiple operating entities within the Forster Group of Companies, which includes commercial and residential real estate projects and food service operations throughout Alberta, Saskatchewan, and Manitoba.

The Office & Leasing Coordinator is responsible for ensuring the day-to-day office operations run smoothly, while providing support to the leasing division. We are looking for someone who takes pride in their work and takes personal accountability to ensure quality deliverables. This exciting career opportunity has two primary areas of responsibility:

Office Management:

  • Maintain a tidy and organized office environment and manage use of the boardroom for internal and external meetings.
  • Greet guests, respond to general inquiries, provide accurate information, and follow up in a timely and professional manner.
  • Manage office mail daily and arrange for couriers as needed.
  • Organize and maintain office supplies and equipment.
  • Manage multiple email accounts and shared office calendar.
  • Administer internal invoice approval process, mail cheques, and file payables.
  • Maintain electronic filing system for numerous document and photo libraries.
  • Assist with the development and maintenance of various office document templates, letterhead, and forms.
  • Prepare monthly expense reports.
  • Maintain organization wide mailing list and manage annual company mail-out.
  • Prepare internal and external written communications in a professional manner.
  • Celebrate team members and participate on company social committee.
  • Work collaboratively with all team members, while maintaining a positive office culture.
  • Perform other duties as assigned.

Leasing Support:

  • Prepare and maintain leasing documents, site plans, proposals, presentations, offers, and agreements.
  • Administer leasing workflows for team collaboration and follow up as needed.
  • Maintain tracking of leasing deliverables and follow up as needed.
  • Create and maintain design guidelines and related documents for multiple commercial and residential projects.
  • Responsible for obtaining tenant information for marketing purposes and posting new tenant announcements.
  • Coordinate photoshoots for multiple sites annually and/or as needed.
  • Create and update printed and electronic brochures and other project marketing material.
  • Coordinate production and installation of site signage, flags, and banners.
  • Maintain and update content for multiple websites and digital billboards.
  • Administer company events and annual industry conferences.
  • Contribute to multiple social media accounts and maintain a consistent and positive online presence.

Preference will be given to individuals who possess:

  • Previous related work experience is an asset, but not required.
  • A relevant degree or diploma in business, marketing, communications, or project management is preferred.
  • Exceptional attention to detail, highly organized, and creative ability.
  • Impressive verbal and written communication skills.
  • Proficient with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, and SharePoint).
  • Experience with Adobe Creative Cloud applications preferred (Acrobat DC, InDesign, Illustrator, and Photoshop).
  • Experience with multiple social media platforms preferred (LinkedIn, Instagram, Facebook, YouTube).
  • The ability to succeed in a changing work environment while managing multiple deadlines.
  • An interest to learn and readily take on responsibility and new tasks.
  • Pride in the way you present yourself and your work.
  • The ability to work independently with minimal supervision.
