If you answered yes, our Chalk River location is looking for an Associate Ombuds to work with individuals, organizations, and leadership to help resolve concerns and facilitate improvements in the workplace. What will you be doing!

  • Supporting the setting and monitoring of the Ombuds Service objectives and standards, the integrity of the Ombuds Service, including interpretation of statistics, initiatives such as strategic planning, and development and communication of policies
  • Providing advice and guidance on the current and future directions and objectives to ensure that the Ombuds Service is responsive to issues relevant to CNL.

Supporting the strategic vision and its related internal processes to ensure these meet the needs of the Ombuds Service.
Supporting formulating plans, objectives and priorities in line with the vision and objectives for the Ombuds Service.

  • Providing advice and guidance in the identification of complaint related trends and systemic issues for informal inquiries, as well as in the formulation of reports and recommendations which have both a singular and broader impact.

Supporting the identification and analysis of complaint trends; supports the conceptualization and implementation of strategies that effectively responds to them.

  • May be called upon to represents the Ombuds in internal communications, effectively communicating with stakeholders to ensure that these are understood.

Represents the Ombuds in high-level discussions with senior management officials and other stakeholders to ensure cooperation and coordination of efforts to resolve complaints as well as systemic issues while maintaining a solid understanding of the issues pertain complaints or systemic issues, so that the Ombuds Service can respond appropriately and effectively.
Exercising authority as delegated by the Ombuds, including identifying and managing critical issues

  • Supporting liaisons with other offices and functions at CNL to facilitate the development of common approaches and to identify issues of common interest.
  • Supporting strategizing and participating in the development of communication products and programs including those aimed at highlighting the Ombuds Service and publicizing the outcomes of informal assessments and systemic inquires, which may involve the use of social media and is recognized as an official spokesperson
  • Supporting the production and publication of the Ombuds Service Annual Report, informal reports to management and providing direct advice and guidance to the Ombuds on the production, publication and overall content of all public reports issued
  • Must evaluate and adjust priorities to meet unpredictable and unplanned requirements and must harmonize work by constantly exchanging information with the Ombudsperson.
  • Providing effective program delivery in accordance with the goals and values of the Ombuds Service while honouring administrative fairness and natural justice.

Handling and managing complaints at all stages through intake, early resolution, as well as complex, own-motion and systemic inquiries.

  • Conceiving of ways and means to continually improve how services are delivered and provides recommendations for innovative, new and improved programs for the provision of services to CNL including the management of complaints, assessments and inquiries. Identifies critical or high profile, sensitive issues and gaps in service, as well as opportunities for improvement. Elaborates and supports the implementation of corresponding initiatives to respond to complex problems and to continue to modernize and improve the overall level of service delivered
  • Performing their duties without impacting or affecting the already defined collective agreement terms or established terms of employment.
  • Working with groups/teams as an independent facilitator to address workplace challenges and to strengthen collaboration, engagement, and accountability as requested. May request support from appropriately qualified staff within CNL
  • Striving for impartiality, fairness, and objectivity, and confidentiality in the treatment of people and consideration of issues
  • Advocating for fair and equitably administered processes, but not an advocate for any individual within CNL

What we are looking for:

  • College diploma or University degree in law, social science or related discipline
  • Formal training in dispute/conflict resolution methodologies and other relevant skill areas, including ethics training
  • 7-10 years relevant experience in coaching individuals utilizing conflict / dispute resolution skills, techniques to resolve issues and complaint handling
  • Experience mediating disputes, using shuttle diplomacy, or other effective measures
  • Experience with developing reports, presentations, and other forms of corporate communications materials
  • Experience delivering training or facilitating large group discussions
  • Familiar working with corporate policies and procedure such as a Code of Conduct Policy
  • Sincere desire to serve customers and improve the CNL experience
  • Knowledgeable and experienced with a wide variety of tools and techniques used to facilitate dialogue and prevent / resolve conflicts
  • Strong verbal and written communication skills, facilitations skills, and analytical skills
  • Ability to effectively prioritize to meet deadlines for timely resolution of issues and reporting
  • Knowledge of Organizational Psychology or Organizational Behaviour is an asset
  • Understanding of the role and work performed by an Organizational Ombuds model
  • Knowledge of Mediation theory and practice, case management systems and techniques
  • Demonstrates a consistent and high level of integrity, ethics, impartiality, empathy, and discretion when engaging with sensitive and confidential matters
  • Understands CNL culture and the Ombuds Service relationship across multiple organizations within CNL

Security clearance eligibility required: Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom.

What will you be doing!

  • Support the administration of disability leaves processing for ITDI and long-term disability including: generating and submitting LTD applications; tracking and reporting on cases; working with internal and external partners to ensure effective operations of programs
  • Coordinating annual leave administration processes related to leave payouts, excess vacation, annual entitlements.
  • Provide support to the Attendance Support Program through the generation of attendance calendars and employee leave reporting as required
  • Work with external parties to ensure effective ongoing operations of Pension plans. Includes: providing and verifying information as required; resolving enrolment or other identified issued
  • Coordinate Company Wide Benefits Review Committee and CNL Pension Committee meetings for the Total Rewards Team and assist with committee work as required
  • Assists in the administration of the bi-annual Benefits Open Enrolment and annual Benefits Renewal process, including communicating with employees
  • Support on required annual reporting and filings related to programs.
  • General support to CNL staff on the programs and/or act as first point of contact for inquiries.
  • Support the annual salary/merit increase cycles: auditing of files, upload or manual entry of data and creating and distributing employee letters.
  • Run various reports as required to support compensation analytics and annual salary increase process
  • Works with internal and external stakeholders to track and monitor progress on projects.
  • Supporting HRMS system enhancements through required testing and auditing.
  • Performs other duties as required

What we are looking for:

  • University Degree or equivalent combination of education and work experience
  • 3-5 years progressive experience in HR administrative/associate/analyst roles; or an equivalent combination of education and related work experience. A CEBS, CHRP or CCP designation is an asset.
  • Experience in a fast pace environment, managing conflicting priorities.
  • Must be able to maintain confidentiality
  • High level of organization, accuracy and attention to detail is essential.
  • Operates as a team player with minimal supervision, self-directed and self-motivated
  • Advanced computer applications skills including Excel, Word, PowerPoint & HRMS databases
  • Excellent interpersonal, collaboration and communication (written and oral) skills
  • High level of adaptability/flexibility; ability to cope with a changing environment
  • Initiative to resolve problems and expedite resources, work plans or other appropriate action.
  • Comprehends and relays information concisely and accurately, and works with minimum supervision in an environment requiring initiative and the ability to work effectively with all levels of personnel.
  • Must be able to see the 'big picture', by having a solid understanding of how all the pieces fit together as changes apply not only to individual employees but to other systems as well
