Job Description:
Reporting to the Manager of the R3 Project Engagement and Communications, the incumbent is responsible for the providing Operational Support to the Algonquin College R3 Project Communications, Change Management and Training staff. The incumbent will provide a high level customer service to clients; organize all logistical details for ongoing communications, events and training. The incumbent will be responsible for scheduling of virtual delivery activities. Prepare and maintain organized training and event records. Maintain an inventory of office supplies and learning materials. Provide general support services to the CCMT Project Manager-R3 Project. Maintain the master stakeholder list and related reporting. Maintain a master college reporting critical path and a master college committee schedule to ensure effective planning and engagement of cross-college stakeholders.
Duties and Responsibilities:
  • Prepares and maintains training documents associated with training events;
  • Prepares, verifies and issues instructor and client contracts for signature;
  • Virtual and In-Person Scheduling rooms, ensuring proper AV equipment is available, ordered if required, functioning and secure. Ensure proper accessibility supports for virtual or in-person events;
  • Maintains an inventory of course materials and purchase supplies as required;
  • Organize, prepares and coordinates learning materials, as required or sets up training room or communications events virtually or on site;
  • Invoices clients and processes contractor payments;
  • Ensures credit courses are entered and students registered on Genesis, SalesForce and BrightSpace;
  • Maintains associated financial receipts for managing budgets and submissions to clients finance;
  • Executing on details for small events such as trainer days or promotional events.
Required Qualifications:
  • Two (2) year diploma or equivalent in Office Administration, business studies or other relevant field of study;
  • Minimum of three (3) years of practical office experience in an admin support capacity preferably in a corporate or private industry environment;
  • Intermediate to Advanced knowledge of Microsoft Office Suite of applications;
  • Excellent communication skills;
  • Ability to write effective email communications;
  • General working knowledge of e-classroom and virtual classroom setups;
  • Experience moderating virtual deliveries;
  • Experience with Knowledge-based systems.
